Job Responsibilities :
- Inventory Management
- Maintain accurate inventory of medical supplies, surgical items, pharmaceuticals, consumables, and non-medical items.
- Monitor stock levels and ensure timely replenishment to prevent shortages or overstocking.
- Procurement Coordination
- Raise purchase requisitions based on stock levels and departmental requirements.
- Liaise with vendors, procurement, and accounts teams to ensure timely ordering and billing.
- Receiving and Inspection
- Oversee receipt of goods, verify quantities, and inspect for damages.
- Ensure items meet quality standards and manage Goods Receipt Notes (GRNs) with proper documentation.
- Storage and Organization
- Ensure proper storage as per safety, hygiene, and classification standards (including temperature-sensitive supplies).
- Implement labeling, categorization, FIFO (First In, First Out), and FEFO (First Expiry, First Out) practices.
- Distribution and Issuance
- Issue supplies to wards, ICUs, OTs, and other departments as per requisitions.
- Maintain accurate logs and delivery records for accountability and traceability.
- Record Keeping and Reporting
- Maintain both digital and manual inventory records.
- Generate daily, weekly, and monthly stock reports.
- Track expiry dates, batch numbers, and consumption trends.
- Audit and Compliance
- Support internal and external audits.
- Ensure compliance with hospital policies and healthcare regulations related to materials management.
- Vendor and Contract Management
- Monitor vendor performance on delivery timelines, quality, and compliance.
- Support vendor evaluation processes and contract renewals.
- Team Supervision
- Supervise store assistants and support staff.
- Train team members in store management procedures and ERP / software usage.
- Waste and Expiry Management
- Ensure safe disposal of expired / damaged goods in line with biomedical waste guidelines.
- Minimize wastage through regular monitoring and timely corrective actions.
