Key roles and responsibilities

• Initial Consultation : Meet with clients or event stakeholders to understand their goals, budget, and vision for the event.
• Budget Management : Create and manage a budget for the event, ensuring that all expenses are accounted for and kept within budget constraints.
• Venue Selection : Identify and secure an appropriate venue for the event, considering factors like location, capacity, accessibility, and cost.
• Vendor Coordination : Hire and manage vendors such as caterers, decorators, audio-visual teams, and entertainment providers. Negotiate contracts and ensure all vendors deliver as per agreements.
• Event Design and Planning : Develop a detailed event plan, including timelines, schedules, and logistics. This may include designing the event layout, selecting themes, and coordinating branding and marketing efforts.
• Registration and Ticketing : If applicable, set up registration systems and ticketing platforms, and manage attendee registration and ticket sales.
• Logistics Management : Oversee all logistical aspects of the event, including transportation, accommodation, signage, and technical equipment.
• Risk Management : Identify potential risks and develop contingency plans to mitigate them, ensuring the event proceeds smoothly even in unforeseen circumstances.
• Marketing and Promotion : Develop a marketing strategy to promote the event, which may include digital marketing, social media campaigns, email marketing, and traditional advertising.
• On-Site Management : Be present on the day of the event to oversee all operations, manage staff and volunteers, handle emergencies, and ensure everything goes according to plan.
• Attendee Experience : Ensure that attendees have a positive and enjoyable experience by addressing their needs and concerns during the event.
• Post-Event Evaluation : Conduct post-event evaluations to assess the success of the event, gather feedback, and identify areas for improvement.
• Financial Reporting : Prepare financial reports detailing the event's expenses, revenues, and profitability.
