The Engagement and Admissions Specialist is contracted by Acumen on behalf of Swinburne University of Technology (SUT) to deliver application processing services.

  • The position receives operational direction from the Admissions and GS Manager and is contracted to admit quality students to Swinburne’s Melbourne campuses.
  • The role supports the achievement of defined recruitment targets by managing the admissions process and providing outstanding customer service.
  • It delivers a range of admissions services, including screening, assessment, equivalencies processing, and use of information systems, ensuring all aspects comply with SUT policies, procedures, and external compliance regulations.
  • The role involves building expert knowledge of the primary regions of responsibility and driving sales through the admissions funnel through to enrolments.

The Engagement and Admissions Specialist works closely with GS Officers (International Admissions) to ensure students meet SUT requirements and with the International Recruitment staff to ensure the maximum enrolment yield from applications to offers, acceptances, and enrolments.

  • The Engagement and Admissions Specialist will be based in the Acumen office in Delhi.
  • The role may require occasional travel and, from time to time, work on weekends and outside of standard office hours.
  • Key Deliverables

    1. Application Assessment and Processing

  • Work within established processes, procedures, and parameters to assess and process applications for admissions within required timeframes, taking ownership for applications in the work queue.
  • Assessment of applications according to agreed rules for selection and in accordance with SUT’s policies and procedures.
  • 2. Advanced Standing Assessment

  • Assessment of applications for Advanced Standing according to agreed rules for Advanced Standing and in accordance with SUT’s policies and procedures.
  • 3. GS Requirements Assessment

  • Assessment of GS requirements and a sound knowledge of SSVF & ESOS requirements.
  • 4. Maintaining Application Processing Timelines

  • Assume responsibility for meeting agreed applications processing timelines in accordance with the Team’s Service Level Agreement.
  • 5. Preparation and Issuing of Course Offers

  • Preparation and issuing of course offers, rejects, and further requests for more information.
  • 6. Responsible for Offer Acceptance Process

  • Assume responsibility for the offer acceptance process, ensuring fees are received as outlined in offer letters.
  • Maintain detailed knowledge of PRISMS to enable eCoEs to be issued.
  • 7. Follow-up Applications

  • Follow up on the processing of applications with faculties / schools and organise any additional information required for a decision to be made.
  • 8. Process Admissions Related Data Using SUT Systems

  • Process admissions-related data entered into the University’s International Admissions Management System and the Student Management System(s).
  • Perform high-level application processing with an emphasis on how to admit a student rather than how to exclude them.
  • Includes assessments of :
  • ELICOS and Swinburne College progressions
  • Swinburne student transfer requests
  • Offer deferral requests
  • Cohort groups applicable to the relevant region
  • Pre-assessment of International Research applications (forwarded to Swinburne Research for processing)
  • 9. Maintain Knowledge of Relevant Legislation

  • Maintain specialist knowledge of relevant legislation or compliance relating to :
  • ESOS Act
  • DHA regulations
  • National Code
  • Privacy legislation
  • Relevant legislation of countries where applicable
  • 10. Provide a High Level of Customer Service

  • Provide a high level of customer service as part of the International Admissions team to prospective students, parents of prospective students, agents, and government sponsoring bodies.
  • 11. Develop Expert Knowledge of Qualifications and Education Systems

  • Develop expert knowledge of the qualifications and education system of relevant region(s) and build admissions personas for that region.
  • Provide admissions support to other SUT teams as required.
  • 12. Case-Manage Applicants

  • Case-manage individual applicants if and when required, leading to greater enrolment yield.
  • 13. Liaise with External Stakeholders

  • Liaise and maintain good relations with :
  • University agents / representatives and University Partners regarding progress of applications, payment of fees, University entry requirements, and other relevant matters.
  • University departments, government bodies, and agents on appropriate and relevant matters.
  • 14. Liaise with Internal Stakeholders

  • Maintain good working relations with Faculty, PAVE & Swinburne College staff at Swinburne.
  • Ensure other relevant staff are aware of any changes in admissions policies and procedures.
  • 15. Act as a Central Liaison Point for Admissions Enquiries

  • Act as a central liaison point for all admissions-related enquiries.
  • 16. Collaborate with Teams

  • Work closely with South Asia recruitment and Genuine Student staff to optimise collaborative efforts.
  • 17. Support Development of Business Processes and System Enhancements

  • Support the development of international admissions business processes and assist with system enhancements.
  • Identify opportunities for automation and use of AI.
  • Troubleshoot and raise system issues as they arise, ensuring minimal disruption to system usage and providing solution support where possible.

  • About You

    Qualifications

  • Completion of a degree with subsequent relevant work experience; or completion of a diploma and subsequent relevant work experience; or a combination of relevant experience and education training. (Essential)
  • A qualification in a technical discipline. (Preferable)
  • Experience / Knowledge / Attributes

  • Previous demonstrated experience and in-depth knowledge in international admissions including entry requirements and selection requirements, and the processing of the advanced standing assessment. (Essential)
  • Experience of using StudyLink Connect platforms. (Preferable)
  • High-level organisational skills, including strong attention to detail, the ability to follow through on tasks, and the ability to work under pressure and to deadlines. (Essential)
  • Excellent oral, written, and interpersonal communication skills. (Essential)
  • Expert knowledge, or the demonstrable ability to obtain knowledge, of Swinburne University of Technology courses, entry requirements, and selection requirements. (Essential)
  • A demonstrated strong commitment to client service principles and the ability to be flexible and to anticipate and be responsive to client needs. (Essential)
  • Using analytical skills and attention to detail, including an ability to evaluate and interpret complex data. (Essential)
  • Excellent English communication skills and fluency in Hindi and one or more additional local languages. (Essential)
