Roles & Responsibilities –
- Conduct due diligence and onboarding for new law firm vendors
- Maintain the Outside Counsel Policy , including uploading acceptances, documenting exceptions, and managing fee arrangements and rate cards in SharePoint
- Process and track rate approvals for outside counsel in a timely and accurate manner
- Maintain real-time updates across various databases , ensuring data accuracy and consistency
- Reconcile law firm inventories using multiple master data sources
- Support implementation of risk management controls related to law firm engagements
- Provide regular status updates on project milestones, deliverables, risks, dependencies, and issues
- Ensure that all projects and tasks adhere to defined scope, timeline, and quality standards
- Work collaboratively and analytically to solve problems, foster innovation, and ensure excellence in execution
- Develop and deliver system enhancement proposals , including documentation and stakeholder presentations
- Participate in user acceptance testing (UAT) of new features or system functionalities and report findings promptly
- Escalate issues and troubleshoot problems with appropriate Legal and Compliance Division (LCD) contacts
- Recommend and implement process improvements to enhance operational efficiency
- Continuously monitor law firm spend to determine active engagements and optimize vendor usage
- Respond to invoicing and rate-related queries and conduct necessary research for resolution
- Use reporting tools such as Business Objects to conduct data analysis and generate reports
- Suggest and implement further efficiencies in process , as needed
- Cross-train on allocated processes and provide back-up support as required
