Job description

Job Summary :

The Account Executive will be responsible for the day-to-day financial operations of the NGO, ensuring accurate financial record-keeping, reporting, and compliance with internal policies, donor requirements, and regulatory standards. This role is essential in maintaining the financial health and accountability of the organization. The ideal candidate will have a strong background in accounting, excellent attention to detail, and a commitment to transparency and ethical financial practices.

Key Responsibilities :

1. Financial Accounting & Bookkeeping

  • Maintain up-to-date and accurate records of all financial transactions in accounting software / manual ledgers.
  • Prepare journal entries, receipts, payments, and bank reconciliations on a regular basis.
  • Ensure timely posting of income and expenditures with appropriate supporting documentation.

2. Budgeting & Financial Planning

  • Assist in preparing annual and project-wise budgets in coordination with program and finance teams.
  • Monitor budget utilization and prepare variance reports on a monthly / quarterly basis.
  • Support in reforecasting and financial planning based on donor funding and operational needs.
  • 3. Reporting & Documentation

  • Prepare monthly, quarterly, and annual financial reports for internal use and donor requirements.
  • Ensure all financial documentation (invoices, bills, vouchers, receipts, contracts, etc.) is filed and archived systematically.
  • Support the preparation of financial statements and donor-specific financial reports.
  • 4. Donor Compliance & Audit Support

  • Ensure expenditures are in compliance with donor agreements, budgets, and grant terms.
  • Prepare audit-ready documentation and coordinate with external / internal auditors.
  • Address auditor queries and assist in implementing audit recommendations.
  • 5. Procurement & Vendor Management (Finance Role)

  • Ensure all procurement transactions are documented with proper quotations, approvals, and receipts.
  • Maintain a database of vendors and suppliers and ensure timely settlement of dues.
  • Track advances and ensure timely settlements and reconciliations.
  • Qualifications & Requirements :

  • Bachelor's degree in Commerce, Accounting, Finance, or a related field (M.Com or MBA Finance preferred).
  • 3–4 years of experience in accounting or finance roles, preferably in NGOs or development organizations.
  • Strong knowledge of accounting principles, financial regulations, and audit practices.
  • Proficiency in accounting software (e.g., Tally, QuickBooks, Zoho Books, etc.) and MS Excel.
  • Familiarity with donor compliance (e.g., USAID, DFID, UN agencies, CSR funding) is an advantage.
  • High attention to detail, integrity, and confidentiality.
  • Good communication skills – both written and verbal.
  • Preferred Skills :

  • Familiarity with grant management and donor financial reporting formats.
  • Ability to work under pressure and meet deadlines.
  • Working Conditions :

  • May be required to work extended hours during audits or financial year-end closing.
