They are crucial for project logistics, quality control, and client satisfaction during high-pressure, fixed-deadline events.
Core Mission To manage all client expectations and internal processes related to the design, production, and seamless installation / dismantling of exhibition stands, corporate events, and experiential marketing activations, ensuring exceptional on-site quality and timely delivery.
Key Responsibilities and Project Lifecycle
The CSE's duties follow the distinct stages of an exhibition project :
1. Pre-Production & Planning Phase (The Briefing & Strategy)
Brief Interpretation :
Work with the client to finalize the brief, budget, and design requirements (size, location, features, traffic flow).
Design Coordination :
Coordinate with the
Design Team
(3D designers, graphic designers) to ensure the concept is aesthetically pleasing, structurally sound, and adheres to the client's brand guidelines and event regulations.
Costing & Quoting :
Prepare detailed quotes and P&Ls, collaborating with the
Production / Fabrication Team
to source materials and obtain accurate cost estimates for build, logistics, and labor.
Approvals :
Manage the process for client sign-offs on design, materials, and final costs.
2. Production & Logistics Phase (The Build & Move)
Vendor Management :
Oversee suppliers, vendors, and internal workshops responsible for fabrication, carpentry, lighting, AV, and graphics production, ensuring quality control.
Timeline Adherence :
Maintain strict project timelines, as exhibition deadlines are
non-negotiable
(e.g., event opening date).
Documentation :
Handle all mandatory logistics documentation, including venue approvals, risk assessments, insurance, and health & safety compliance for the site.
Shipping & Storage :
Plan and manage the logistics for safe transport of the stand materials to the exhibition venue, including customs clearance for international events.
3. Execution Phase (The On-Site Delivery)
Installation Management :
Be the key liaison during the high-stress, on-site installation ("build-up"). Troubleshoot any immediate site issues (power, space, last-minute client changes).
Client Handover :
Conduct the final quality check and hand over the ready stand to the client representative, ensuring every detail meets the agreed-upon standard.
On-Site Support :
