Job description

A leading International Architectural Practice, located in Dubai with an office in India, working on prestigious projects are seeking Document Controller / Senior Document Controller candidates who meet the following criteria.

Relevant candidate to plan, direct, coordinate and manage all the project documentation in hard and soft format and ensure that the project requirements are met through an efficient distribution, storage and retrieval of project information.

JOB ACCOUNTABILITIES LINKED TO OBJECTIVES

Responsible for distribution and management of all office procedures and project related documents

Incoming mail – copying, distributing and filing
Outgoing mail - copying, distributing and filing
Issue and track document
Letter and fax format and protocol
Document referencing and storage protocol
PC file storage and backups
Filling
Stationery requests and ordering (site document controllers)
Drawing issue procedure
FTP site use
Document tracking logs & registers
Daily file management

Project Specific Requirements

Download drawings issued from FTP site

Print transmittals for Project Architect to review

Determine issue purpose and distribution

Arrange for printing of hard copies of drawings

Conduct quality control – drawings vs transmittals and check against all registers

Where necessary notify issuing party of outstanding / unresolved matters

Compile letter of issue

Obtain authorisation from Project Architect

Update all related registers, logs, statements and reports after issue

Compilation and update of Project Quality Assurance Manual

Update Project document control registers

Coordinate change management administration

QUALIFICATION / EXPERIENCE / REQUIREMENTS

Any Graduate

Good command of spoken and written English

Minimum of 4 years’ experience as a Document controller in a multinational company

Ideally have experience of working in a similar environment within the Middle East.

TECHNICAL (SOFTWARE) KNOWLEDGE

Intermediate level of all Microsoft office programs (Word, Excel, PowerPoint, Outlook)

Knowledge of FTP Operation

Knowledge of Expedition software

Knowledge of Aconex

Knowledge of Newforma

Knowledge of Primavera
