Position Overview : We are seeking a dedicated and detail-oriented Client Support Specialist to join our Client Support team at Royal York Property Management. In this role, you will be the first point of contact for our clients, including property owners and tenants, ensuring their needs are addressed promptly and efficiently. You will play a key role in maintaining positive client relationships and ensuring that our clients receive a seamless and exceptional experience throughout their interaction with our company.

Key Responsibilities :

  • Respond to inbound client inquiries via phone, email, and chat, providing assistance with property management services.
  • Address client concerns, resolve issues, and ensure customer satisfaction in a timely and professional manner.
  • Assist in managing client accounts, including addressing billing inquiries, payment status, and contract details.
  • Provide updates and detailed information on property maintenance requests, status, and resolutions.
  • Work collaboratively with internal departments to escalate and resolve complex client issues when needed.
  • Maintain accurate records of client interactions, ensuring all notes are updated in the system.
  • Process tenant and owner inquiries, ensuring proper follow-up and closure of tasks.
  • Assist in scheduling property viewings, inspections, and maintenance requests for tenants and owners.
  • Identify opportunities to improve the client experience and recommend enhancements to service offerings.
  • Support administrative tasks and ensure that client files and records are kept up to date and in compliance with company policies.

Qualifications :

  • 3+ years of customer service experience, preferably in a property management or real estate setting.
  • Strong communication skills, both verbal and written, with the ability to build rapport with clients.
  • Excellent problem-solving skills with a strong attention to detail.
  • Ability to manage multiple tasks simultaneously and work in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with property management software (e.g., Yardi, Appfolio, Buildium) is a plus.
  • Ability to work both independently and as part of a collaborative team.
  • A professional, client-focused attitude with a passion for delivering excellent customer service.
  • Preferred Skills :

  • Knowledge of local property laws, regulations, and rental agreements.
  • Bilingual (English / Other languages) is an asset.
  • Previous experience in a client-facing role within the real estate or property management sector.
