Role Overview
The HR Onboarding Specialist will be responsible for ensuring a seamless and positive onboarding experience for new employees. This role involves coordinating pre-joining formalities, managing documentation, coordinating for logistics, and ensuring timely completion of all onboarding activities, including flawless employee code generation in the HRMS system.
Key Responsibilities
- Pre-Onboarding Coordination : Communicate with new hires at least 15 days prior to joining to guide them through pre-joining formalities.
 - Collect and verify all required documents before the joining date.
 - Onboarding Day Activities : Ensure complete employee file creation and documentation on the day of joining.
 - Manage orientation sessions and ensure smooth integration into the organization.
 - Logistics & Arrangements : Coordinate travel ticket bookings, hotel accommodations, and cab arrangements for new joiners (if applicable).
 - Raise requests for laptops, ID cards, email IDs, and system access in advance.
 - Medical & Compliance : Schedule and track pre-employment medical tests and ensure compliance with company policies.
 - HRMS & Employee Code Generation : Ensure accurate and timely creation of employee codes in the HRMS system without errors.
 - Data Management & Reporting : Maintain accurate onboarding records and generate MIS reports for management review.
 - Employee Experience : Act as the first point of contact for new hires, ensuring a positive and professional onboarding experience.
 
Qualifications & Experience
Education : Graduate in any discipline; MBA / PGDM in HR preferred.Experience : 3–6 years in HR operations or onboarding roles.Skills : Strong communication and interpersonal skills.Excellent organizational and administrative abilities.Proficiency in MS Office and HRMS tools.Attention to detail and ability to manage multiple tasks.
