Role Summary

We’re Wellness Coach , a B2B wellness platform. We’re hiring a detail-oriented and proactive Coach Operations Ninja to support our daily workflows, ensuring seamless coordination between coaches, clients, and internal teams.

In this role, you will be at the heart of our operations, managing schedules, supporting session logistics, and ensuring smooth communication across teams. You’ll play a key role in optimizing workflows, maintaining data accuracy, and leveraging technology (including AI tools) to streamline processes and enhance team performance. We’re looking for someone who combines organizational precision with empathy and adaptability, a team player who thrives in a fast-paced, remote environment and enjoys solving problems creatively.

Responsibilities

Build and maintain trusted relationships with coaches through ongoing communication, empathy, and responsiveness.

Onboard and support new coaches, providing guidance on navigating the Wellness Coach platform, accessing resources, and understanding processes.

Manage coach scheduling and coordination, ensuring accuracy across time zones and resolving conflicts, rescheduling, or cancellations promptly.

Collaborate cross-functionally to address coach needs, share best practices, and support change management and communication efforts.

Coordinate logistics for sessions and events, ensuring readiness, smooth execution, and accurate post-session documentation.

Facilitate coach feedback loops to gather insights for platform and process improvements.

Leverage AI and technology to streamline communication, create templates, and propose automation or efficiency-enhancing innovations.

Working Hours

Remote role based in India.

Working hours : 4PM – 1AM IST (to maintain overlap with US time zones).

Minimum Qualifications

Education : Bachelor’s and / or Master’s degree in Business, Operations, or related field.

Skills & Experience :

Excellent written and verbal communication skills.

Proficiency with Google Workspace (Docs, Sheets, Slides, Calendar).

Familiarity with AI-powered tools for productivity and workflow management.

Strong organizational, analytical, and problem-solving abilities.

Ability to work independently in a fast-paced, remote environment.
