Main Responsibilities:
Onboarding & Induction
- Organize and facilitate induction programs for new hires.
- Conduct screening and manage all joining formalities and ensure completion of required documentation for on roll, trainees, interns & fixed term contract employees.
- Prepare and issue appointment letters for new hires (on-roll and outsourced employees).
Employee Records & Documentation
- Maintain and update personnel files, ensuring accuracy and compliance for on roll, trainees, interns & fixed term contract employees..
- Timely preparation and processing of appointment, increment, and settlement letters and maintain related documentation.
- Provide support in organizing HR audits, document filing, and data collection/entry.
Statutory Compliance (PF & ESI)
- Registering employees under the Provident Fund (PF) and Employees‘ State Insurance (ESI) schemes for those eligible, and obtaining their Universal Account Numbers (UAN) and ESI numbers.
- Complete EPFO e-nomination activities for all employees.
- Provide value-added services such as bank and PAN seeding in the EPFO portal.
- Handle PF & ESI-related grievances of current and former employees.
- Complete ESI Aadhaar and dependent seeding in the ESI portal and distribute e-Pehchan cards.
- Maintain ESI leave forms (Form-10 issued by the ESI office).
- Visit EPFO and ESIC offices when necessary for submissions and follow-ups.
HR Administration & Support
- Provide general administrative assistance to the HR team in day-to-day operations.
- Coordinate HR-related database such as maintaining trackers for ESI, EPFO, Personal files & Company ID.
- Support employee engagement activities, HR events, and communication initiatives.
- Assist in preparing documents and reports, as required by the HR function.
Ensure proper filing, confidentiality, and accessibility of HR records and correspondence.
