Job Description – HR & Admin Executive

Position : HR & Admin Executive

Location : Ahmedabad, Gujarat

Reporting To : CEO / Managing Director

Employment Type : Full-Time

Role Overview

We are looking for a dynamic and proactive HR & Admin Executive to manage the complete spectrum of Human Resources and Administrative functions, including factory HR & administration. The role also involves providing direct assistance to the Owner in daily work such as scheduling, meeting arrangements, and operational coordination.

Key Responsibilities

Human Resources

  • Manage the end-to-end recruitment lifecycle : sourcing, screening, interviewing, offer negotiation, onboarding, and induction.
  • Develop and implement recruitment strategies, employee referral programs, and campus hiring initiatives.
  • Maintain accurate employee records, HR documentation, and ensure compliance with statutory requirements and labor laws.
  • Handle attendance, leave management, and payroll coordination.
  • Drive employee engagement activities, training programs, and performance management processes (reviews and appraisals).
  • Develop and implement HR policies and serve as the first point of contact for grievance handling.
  • Prepare and analyze HR reports and dashboards (e.g., Time-to-Hire, Attrition, Offer Acceptance Rate, Cost-per-Hire).

Factory HR & Compliance

  • Oversee workforce management for factory staff, including contract labor and direct employees.
  • Ensure compliance with Factories Act, labor laws, ESI, PF, and other statutory requirements.
  • Coordinate with government authorities, labor inspectors, and ensure timely statutory filings.
  • Maintain shift schedules, attendance registers, muster rolls, and other statutory records.
  • Manage safety, health, and welfare initiatives in alignment with factory requirements.
  • Liaise with contractors / vendors to ensure compliance with legal and safety obligations.
  • Administration

  • Manage day-to-day office and factory administration, vendor management, and procurement of office / factory supplies.
  • Oversee infrastructure, housekeeping, canteen, security, and transport facilities at the factory and office.
  • Manage correspondence, documentation, and record-keeping for smooth business operations.
  • Handle travel bookings, logistics, and meeting / event arrangements.
  • Executive Assistance to CEO

  • Assist in daily planning, scheduling, and calendar management for the Owner.
  • Organize and follow up on meetings, appointments, and business communications.
  • Prepare reports, presentations, and maintain confidentiality of sensitive information.
  • Act as a liaison between the Owner, employees, factory staff, and external stakeholders.
  • Key Skills & Competencies

  • Strong knowledge of HR processes, labor laws, and factory compliance.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in MS Office and HR software / ATS systems.
  • Ability to handle factory workforce and contract labor with fairness and efficiency.
  • Strong problem-solving and multitasking abilities with attention to detail.
  • Qualifications & Experience

  • Bachelor’s degree in HR, Business Administration, or related field (MBA preferred).
  • 3–6 years of experience in HR & Admin roles, with exposure to factory HR & compliance.
  • Hands-on experience with labor laws, statutory compliance, and factory workforce management is essential.
  • Prior experience in manufacturing / industrial setup will be an added advantage.
