The Sales Administrator plays a pivotal role in maintaining sales pipeline integrity, ensuring deal accuracy across systems like HubSpot, PSA, and QuickBooks, and managing inventory adjustments and invoicing processes.
This role supports compliance, reporting, and post-event operations while identifying areas for process optimization and sales enablement. The Sales Administrator ensures smooth collaboration between Sales, CX, Finance, and Marketing teams to drive operational efficiency.
Education and Qualifications
- Required : Graduate.
- Exceptional English communication skills.
- Preferred : Strong attention to detail (critical to this role).
- Basic knowledge of bookkeeping and accounting principles.
- Experience working with CRM or PSA tools (e.g., HubSpot, ConnectWise ).
- Proficiency in Microsoft Excel (data entry, formulas, reporting).
Responsibilities
Inventory Adjustments : Process NOC inventory adjustment requests, ensure invoices are sent to Finance for payment, and update the PSA accordingly.Sales & CX Deals : Perform quality checks on deals to ensure correct entry into HubSpot (HS) . Confirm Finance receives necessary invoicing information. Update deal status in HS and SalesLoft once invoices are paid.Sales Pipeline Compliance Review : Identify opportunities in the sales pipeline lacking next steps or critical details. Ensure escalations are entered accurately and promptly. Update HubSpot if CX team deal stages and amounts in HubSpot don't match SPT.Automatic Increases : Ensure annual increases are correctly entered into both HS and the PSA. Assist the CX team in standardizing partner increases by identifying outliers when transitioning to Halo PSA.Reporting : Provide the Sales Director with updates on leads not in compliance with SLAs. Generate other reports for stakeholders. Maintain tabulation of Customer Lifetime Value.Team GPS Self-Serve : Triage or resolve all issues related to automated self-service GPS deals, including disputes and billing errors.Reconciliation : Perform any reconciliation between data in HS, QuickBooks, and the PSA.Sales Process Optimization & Enablement : Identify areas for process improvement within sales operations. Ensure the sales enablement library is updated with the latest materials and accessible to the Sales and CX teams.Post-Events : Upload lists into HubSpot, associated scoring, lead routing, and reporting. Coordinate with Marketing to ensure all stakeholders are aware of SalesLoft cadences and their respective obligations / SLAs.Other Duties (as time permits) : Prepare L10 metrics, prep lists (e.g., for BDRs), assist with manual handling of MQLs, and serve as the Turtl librarian (creating and deprecating variations for the sales team).Skills Required
