Job description

1. Context

To ensure smooth execution of People Operations processes at Arpan, aligning with the organisation’s culture and values. Your key responsibilities will include :

  • Supporting employees through their journey at Arpan.
  • Managing onboarding, recruitment, performance management, goal setting, and engagement activities.
  • Ensuring compliance with all HR processes and policies.
  • Acting as a custodian for people-related initiatives, ensuring employees are supported, motivated, and secure in their roles.

3. Key Objectives of the Job

To actively support and contribute to the smooth execution of all People & Culture activities at Arpan, ensuring seamless processes and positive employee experiences

4. Major Deliverables

Major responsibilities :

1. Recruitment & Induction

  • Execute the end-to-end recruitment process in alignment with timelines shared by the manager, ensuring timely closure of vacancies.
  • Prepare and issue offer letters, probation contracts, and maintain updated and accurate employee records in HR systems.
  • Coordinate and ensure smooth onboarding of new hires by managing joining formalities, scheduling inductions, and providing initial guidance.
  • Support the manager in monitoring attrition data and facilitate timely execution of exit processes including interviews, documentation, and full & final settlements.
  • 2. Payroll & Attendance, Leave Register

  • Collect, validate, and share attendance, leave, and time management data within defined timelines for accurate payroll processing.
  • Coordinate with Finance for salary disbursement, reconciliation, and resolution of discrepancies, ensuring all timelines are met.
  • Track statutory deductions, deposits, and provisions, and share periodic compliance reports with the manager.
  • Prepare and maintain audit-ready payroll documentation as per process requirements.
  • 3. HR Operations, MIS & Reporting

  • Implement and follow HR policies and processes, ensuring adherence across teams and escalating deviations to the manager.
  • Support managers and employees in resolving day-to-day HR queries and escalate complex issues for timely resolution.
  • Assist in driving performance management activities by tracking timelines, collating data, and preparing reports for manager review.
  • Coordinate training, learning, and development initiatives, ensuring attendance tracking, feedback collection, and reporting.
  • Support HRMS automation activities through data preparation, UAT (testing), and adoption follow-ups.
  • 4. HR Compliance & Documentation

  • Prepare and maintain compliance documentation, checklists, and reports, and share them with the manager for review.
  • Coordinate with compliance partners and Finance to ensure timely completion of statutory submissions.
  • Track adherence to internal policies across departments and escalate non-compliance.
  • Maintain audit readiness by ensuring all HR files, reports, and records are updated and easily retrievable.

  • 7. Educational Qualification

    Graduate / Post Graduate with a specialization in HR preferred

    8. Desired Experience

    Should have at least 4-6 years of HR experience (HR generalist experience preferred). At least 2-3 years of social sector experience preferred.

    9. Other desired attributes

  • Strong MS Office skills – Advance Excel, PowerPoint, Google Docs.
  • Hands-on experience with HRMS (Digital HRMS preferred).
  • Good understanding of HR compliance requirements.
  • Excellent written, verbal, and relationship-building skills.
