Role Overview

The Project Manager will be responsible for planning, organizing, and executing wedding projects from start to finish. This role requires someone who can manage timelines, coordinate with multiple teams, handle client expectations, and ensure seamless execution during weddings. The ideal candidate must be calm under pressure, detail-oriented, and capable of maintaining Novella’s luxury standards throughout the client journey.

Key Responsibilities

Manage wedding projects from inquiry to delivery, ensuring smooth communication and coordination.

Build detailed event timelines, checklists, and team responsibilities for each event.

Coordinate with internal teams — cinematography, photography, editing, creative, brand communication, and planners.

Serve as the primary point of contact for clients regarding execution, updates, and planning milestones.

Coordinate with venues, vendors, planners, decorators, entertainment, and logistics partners.

Conduct recce visits, prepare venue notes, and assess operational feasibility.

Handle on-ground event execution, ensuring everything runs on schedule with zero compromises.

Manage last-minute changes, crisis situations, and dynamic requests calmly and professionally.

Track project progress using trackers, SOPs, and checkpoints.

Oversee pre-production planning : team allocation, gear readiness, travel planning, and shoot-day prep.

Ensure proper backup, data transfer, and project documentation after events.

Maintain discipline, communication clarity, and a polished luxury conduct during all events.

Work closely with the Business Operations & Growth Manager to improve workflows and solve operational gaps.

Maintain strong follow-up and TAT (max 2 hours response during active projects).

Ensure post-event feedback collection and closing formalities with the client.

Requirements

Prior experience in project management, events, wedding planning, or operations.

Strong organizational and coordination skills.

Ability to handle pressure, long hours, and back-to-back event days.

Excellent communication and client-handling skills.

Comfortable with travel and late-night wedding events.

Ability to lead teams, manage conflicts, and ensure discipline.

Strong problem-solving abilities and crisis-handling experience.

Proficiency in using tools like Excel, Google Sheets, project trackers, and checklists.

Passion for weddings, premium execution, and luxury experiences.
