Job Summary :
The Sr. Purchase & Admin Executive will be responsible for managing the end-to-end purchasing process, vendor management, and administrative operations of the organization. This includes procurement of materials, office supplies, and services, negotiating contracts, maintaining optimal stock levels, and ensuring smooth coordination between purchase, store, and administration functions.
The role also includes supervision of administrative support activities such as managing office boys, maintaining office premises, monitoring CCTV and security systems, and handling general office requirements.
Key Responsibilities : Purchase & Procurement :
- Maintain accurate records of goods ordered and received.
- Identify, research, and evaluate potential vendors and suppliers.
- Compare and assess offers to ensure best value for money.
- Negotiate pricing, payment terms, and contract agreements with vendors.
- Prepare and process Purchase Orders (POs), Work Orders, and Debit Notes as per company procedures.
- Track and follow up on orders to ensure timely delivery.
- Inspect and review the quality of materials received.
- Maintain updated records of purchased products, pricing, delivery schedules, and invoices in the internal system.
- Prepare periodic reports and cost analysis on procurement activities.
- Monitor inventory and stock levels; coordinate with the store to place timely replenishment orders.
- Conduct market research to identify new products, pricing trends, and alternate suppliers.
- Attend trade shows and exhibitions to stay updated with market trends.
Administration & Facility Management :
Manage office administration activities including procurement of office supplies, housekeeping materials, stationery, and consumables.Supervise office boys, housekeeping staff, and ensure timely completion of daily office operations.Coordinate repair and maintenance of office infrastructure, furniture, and electrical systems.Oversee and maintain CCTV systems, access control, and other security-related infrastructure.Ensure smooth operation of utilities (internet, electricity, water, etc.) and vendor payments related to the same.Manage AMC (Annual Maintenance Contracts) for equipment and facility services.Handle logistics, courier dispatches, and company vehicle arrangements when required.Assist in employee welfare activities, travel arrangements, and event coordination.Ensure compliance with company policies for purchase and administrative expenditures.Requirements & Skills :
Proven experience as a Purchasing Officer / Sr. Purchase Executive / Admin Executive or in a similar role.Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with suppliers).Hands-on experience with purchasing and inventory management software (e.g. Tally, )Understanding of supply chain and store management processes.Strong analytical skills for preparing cost analyses and purchase reports.Excellent negotiation and communication skills.Proficiency in MS Office (Excel, Word, PowerPoint).Strong organizational skills with attention to detail.Ability to handle multiple tasks and work independently.Qualification :
Graduate / Diploma in Supply Chain, Business Administration, or related field (preferred)MBA in Materials Management or equivalent (preferred).Job Type : Full-time
