As an Executive Assistant in Consumer and Community Banking, you will play a crucial role in ensuring the smooth operation of our department. You will have the opportunity to work closely with senior management, manage complex schedules, and coordinate important meetings and events. Your role will be pivotal in maintaining efficient communication and supporting the team in achieving its goals.. In this role you will need to work well in a team environment, be able to represent the manager / group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.
Job Responsibilities
- Maintain complex and detailed calendars.
- Screen incoming calls, determine priority, and use discretion in dispensing information.
- Manage coordination and logistics for internal and external meetings.
- Arrange and coordinate complicated domestic and international travel.
- Organize all aspects of offsite conferences and external events, including catering and transportation.
- Process invoices and T&E expense claims for team members, ensuring policy compliance and acting as a subject matter expert.
- Assist with staff onboarding and off boarding, including equipment setup and system access requests.
- Produce high-quality emails and messages to individuals at all levels of the organization.
- Maintain current organizational charts and executive bios.
- Proactively handle regular activities, advise in advance of issues or delays, and work cooperatively with the administrative assistants team to support each other.
- Assist in editing spreadsheets and presentations, including printing and binding for client meetings, and lead or coordinate ad hoc projects as requested.
Required qualifications, capabilities and skills
At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or aboveAdvanced ability to organizeTact and good judgment in confidential situations, and proven experience interacting with senior managementStrong interpersonal, written, and oral communication skillsStrong proficiency in Microsoft OfficeExcellent telephone etiquette and ability to manage competing priorities . calendar managementCollege degree is requiredPreferred qualifications, capabilities and skills
Graduate degree is a plus
