Job Description – Stores Admin Executive (Tools Management Centre, Chakan)

Location : Chakan Pune

(Candidate must be preferably from Maharashtra / Uttar Pradesh / Bihar and must be willing to

relocate to Chakan in future)

Experience Required :

5-6 Years

Reporting To : Tools Management Centre Head

Job Summary :

We are seeking a proactive and detail-oriented Stores and Admin Executive to oversee and manage

the daily operations at our Tools Management Centre in Faridabad. The role involves efficient

inventory management, material handling, storage, issuance, tracking, and general administrative

tasks. The ideal candidate will ensure the smooth operation of the centre, maintain accurate inventory

records, and support compliance with ISO standards and safety regulations. Proficiency in SAP,

advanced Excel skills, and strong email writing skills with excellent verbal and written communication

in English are mandatory for this role.

Key Responsibilities :

Stores Management :

  • Oversee the inward process, including receiving, inspecting, and verifying all incoming tools and

materials for quality and quantity.

  • Ensure systematic storage of tools and materials, maintaining orderliness and easy retrieval.
  • Maintain accurate inventory records using SAP, ensuring real-time tracking of stock levels.
  • Coordinate issuance and return of tools, ensuring proper documentation and accountability.
  • Monitor stock levels and coordinate with procurement for timely replenishment to avoid shortages.
  • Conduct regular stock audits and reconciliations using SAP and Excel to maintain inventory

    • accuracy.

  • Coordinate with transporters for the safe and timely interstate / intrastate movement of tools, including

    • loading and unloading (300-400 kg boxes).

  • Implement and maintain 5S practices for an organized and efficient store environment.

    • Maintenance and Compliance :

  • Oversee periodic inspections and maintenance of tools to ensure operational efficiency and safety.
  • Coordinate with vendors for repairs, calibration, and preventive maintenance of scaffoldless tools.
  • Ensure compliance with ISO standards and safety regulations related to inventory management and

    • material handling.

  • Conduct safety audits and implement corrective actions to maintain a safe working environment.

    • Administration and Coordination :

  • Manage administrative tasks, including documentation, filing, and reporting related to inventory and

    • logistics.

  • Prepare detailed reports on stock movement, consumption patterns, and inventory valuation using

    • SAP and Excel.

  • Coordinate with finance for invoice processing and payment follow-ups for procurement and

    • maintenance services.

  • Support in organizing internal meetings, training sessions, and audits related to tools management.
  • Facilitate communication between internal teams and external partners for smooth operations.
  • Draft and communicate professional emails clearly and effectively to internal and external

    • stakeholders.

    Qualifications and Skills Required :

  • Bachelor’s degree or Diploma in Supply Chain Management, Logistics, Business Administration, or a

    • related field.

  • 3-4 years of experience in stores management, inventory control, or administration, preferably in a

    • tools management or industrial warehousing environment.

  • Proficiency in SAP and advanced Excel skills (VLOOKUP, Pivot Tables, Data Analysis) is

    • mandatory.

  • Strong email writing skills and excellent verbal and written communication in English.
  • Strong organizational and multitasking skills.
  • Excellent communication and coordination abilities.
  • Knowledge of safety standards is must and ISO compliance is an added advantage.

  • Ability to work independently and as part of a team.
  • Proactive and self-motivated with a positive attitude
