Assistant Manager - Contract Management
KSB Pumps Limited is seeking a proactive Assistant Manager - Contract Management to oversee the seamless execution of projects and contracts. This pivotal role involves meticulously managing project timelines to avoid penalties, fostering strong client relationships, and ensuring efficient cash flow management from order receipt to final payment.
Responsibilities :
- Execute projects / contracts strictly according to project timelines, ensuring no penalties from clients.
- Review contract orders and conduct Project Kick-off meetings with customers and the internal team for new and significant orders.
- Plan and work towards the achievement of the Sales Plan as per schedule.
- Coordinate with Material Requirements Planning (MRP) / Supply Chain Management (SCM) / Production and send Sales Order (SO) wise status / Monthly Progress Report (MPR) updates to customers.
- Submit final technical & commercial documentation and secure approvals, including Inspection Release Notes (IRN) / Material Delivery Completion Certificates (MDCC).
- Organize and attend meetings with customers / clients / consultants / vendors to expedite approvals, advances, and any other requirements to maintain the project schedule.
- Coordinate with Operations and Quality Management (QM) for the execution of inspection activities.
- Follow-up / keep track of Liquidated Damages (LD) orders , LD waiver requests with necessary justification, and final payments.
- Track cash flow of orders and ensure advances and payments are received on time.
- Communicate effectively with clients to identify needs and evaluate alternative business solutions with project management.
- Continuously seek opportunities to increase customer satisfaction and deepen client relationships.
- Manage client expectations effectively.
- Enhance client relationships through excellent service, follow-up, and successful project completion.
- Contribute to Cash Flow Management and Contribution Margin improvement of the project.
- Ensure that all internal orders from other plants are booked in time and scheduled as per the Purchase Order delivery date.
- Ensure timely submission of post-order documents and receipt of approval and manufacturing clearances.
- Periodically review orders on hand with the team using SAP reports and other tools.
- Identify risks and initiate actions for mitigation.
- Ensure that all orders are executed within contractual delivery. In case of any delays, identify reasons and ensure receipt of delivery extensions prior to dispatch.
- Ensure that all requirements as per the KSB Quality Management System (QMS) and other systems are being followed.
Skills :
Strong project and contract execution capabilities.Expertise in managing project timelines and avoiding penalties.Proficiency in conducting project kick-off meetings.Excellent coordination skills with various internal departments (MRP, SCM, Production, Operations, QM) and external stakeholders (customers, clients, consultants, vendors).Adept at technical and commercial documentation submission and approval.Strong negotiation and follow-up skills for payments, approvals, and LD waivers.Proven ability in cash flow management and contribution margin improvement.Exceptional client communication and relationship management skills.Familiarity with SAP reports and other tools for order review and risk identification.Knowledge of KSB QMS and other system requirements.Skills Required
