Job description

Role Overview :

We are seeking a proactive and detail-oriented Senior Associate – HR & Admin to support MSX International’s operations from our Mumbai office. This role is responsible for managing facility operations, employee support, travel logistics, engagement activities, and compliance. The ideal candidate will ensure seamless day-to-day functioning while upholding HR process excellence and administrative efficiency.

Key Responsibilities :

Facility & Vendor Management

  • Ensure 100% compliance with office maintenance and safety standards
  • Liaise with vendors and service providers for procurement, maintenance, repairs, and office supplies, ensuring zero non-compliance
  • Support line managers with new joiner project induction and ADP training
  • Oversee leave and attendance management; share reports with stakeholders on time
  • Maintain digital and physical documentation for vendor records

Employee Support & HR Operations

  • Assist employees with medical insurance claims and support internal teams on statutory compliance
  • Raise and close background verification requests within defined SLAs
  • Travel & Logistics Management

  • Plan and coordinate business travel, accommodation, transportation, visa processing, and logistics for employees and guests
  • Track travel expenses, ensure policy adherence, and provide timely support to traveling employees
  • Communication & Engagement

  • Organize monthly cultural and employee engagement activities to foster a positive work environment
  • Sustainability & Compliance

  • Implement and monitor energy-saving, waste reduction, and green initiatives aligned with corporate sustainability goals
  • Qualifications & Skills

  • Graduate / Postgraduate in HR, Business Administration, or related field
  • 3–5 years of experience in HR and administrative roles
  • Strong knowledge of HR operations, compliance, and vendor coordination
  • Proficient in MS Office, HRIS tools, and ERP systems
  • Excellent communication, organizational, and problem-solving skills
  • Familiarity with corporate compliance standards and sustainability practices
  • Ability to work independently and manage multiple priorities effectively
