Executive Assistant
We are looking for a highly organized and proactive Executive Assistant to support our Executive Director. This role is essential in ensuring the efficiency of our executive operations and requires exceptional communication skills, discretion, and the ability to manage multiple priorities.
Key Responsibilities
- Manage the Executive Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organise documents, presentations, and reports for meetings.
- Coordinate travel (domestic / international) including flights, accommodation, transport, and itineraries.
- Draft, proofread, edit internal and external correspondence and documents.
- Screen calls, emails, visitors; act as point of contact for routine stakeholder interactions.
- Organise and manage special projects, tracking deadlines, following up with team members.
- Assist with event planning and logistics for meetings, conferences, internal‑external functions.
- Handle expense reports, invoices or reimbursements related to the ED’s office.
- Maintain confidentiality around sensitive information and act with professionalism.
- Perform other administrative duties as needed to support the Executive Director.
Qualifications :
Bachelor’s degree in Business Administration, Communications, or a related field.Minimum 5 years of experience in an executive assistant or similar role.Exceptional organisational and multitasking abilities.Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.Excellent written and verbal communication skills.Ability to work independently and collaboratively in a fast-paced environment.Strong problem-solving skills and attention to detail.
