About the Role
We are seeking a highly organized, proactive, and detail-oriented Bilingual Virtual Assistant who is fluent in English and Spanish . The ideal candidate will provide administrative, communication, and operational support to ensure smooth day-to-day business functioning. You will work closely with leadership, clients, and internal teams to manage tasks, streamline workflows, and enhance productivity.
Key Responsibilities
- Provide administrative support including scheduling, calendar management, email handling, and data entry.
- Communicate professionally with clients, partners, and vendors in both English and Spanish (written and verbal).
- Assist with customer inquiries, follow-ups, and support tasks through phone, email, and chat.
- Prepare and translate documents, presentations, reports, and internal communication.
- Manage CRM updates, maintain accurate records, and organize digital files.
- Coordinate meetings, prepare agendas, and document minutes.
- Handle travel arrangements, bookings, and event coordination as needed.
- Assist with basic social media posting, content updates, and research-driven tasks.
- Support leadership with ad-hoc tasks, administrative projects, and operational activities.
Requirements
Proven experience as a Executive Assistant or Administrative Assistant (minimum 1–2 years).Fluency in both English and Spanish (reading, writing & speaking).Strong communication and customer service skills.Excellent organizational skills with the ability to multitask and prioritize.Proficient in MS Office, Google Workspace, CRM systems, and online communication tools (Zoom, Slack, Teams).Ability to work independently, meet deadlines, and maintain confidentiality.Stable internet connection, professional work environment, and availability during US business hours.Preferred Qualifications
Experience working with US-based clients or teams.Knowledge of basic bookkeeping, invoicing, or project management tools (Asana, Trello, ClickUp).Social media management experience (plus but not mandatory).Previous bilingual customer support experience.What We Offer
