Senior Finance Specialist

Total CollectR a product of Total AI Systems Inc. is a fast-growing SaaS company transforming the debt collection industry. We build innovative products that help businesses effectively manage past-due debt accounts while creating better experiences for consumers.

We are seeking a highly experienced, detail-oriented Senior Bookkeeper to own our daily and monthly financial operations, daily bookkeeping activities, month-end closes, reconciliations, improve financial processes and support leadership with accurate reporting across the parent company and its subsidiaries.

This is a critical role, ideal for someone who thrives in an environment of growth, responsibility and operational complexity.

Reports To : Chief Executive Officer (CEO)

Location : Remote

Work Hours : US Central Time

Key Responsibilities

• Handle daily and monthly bookkeeping, including AP / AR, expense processing and reconciliations.
• Maintain accurate financial records, ledgers and audit-ready documentation across multiple entities.
• Oversee financial documentation, receipts, and audit-ready files
• Prepare monthly / quarterly financial reports and support leadership in understanding trends and spending patterns.
• Assist with budget tracking, forecasts and identifying financial discrepancies or optimization opportunities.
• Manage multi-entity bookkeeping, intercompany accounting and support tax prep, audits and compliance activities.
• Maintain compliance with internal controls, document workflows, and reporting standards
• Partner with HR, operations and sales as the primary financial point of contact.
• Recommend and implement improvements to financial processes, documentation and automation tools.
• Communicate proactively on issues, risks, or unusual activities
