Job Summary :
We are seeking a highly organized and proactive
Executive Secretary / Personal Assistant
to provide comprehensive administrative and secretarial support to senior executives. The ideal candidate should possess strong multitasking abilities, excellent communication skills, and a high degree of professionalism while handling confidential information.
Key Responsibilities :
Provide comprehensive secretarial and administrative support to senior executives, including managing calendars, scheduling appointments, and coordinating meetings.
Organize and maintain documents, records, and files (both electronic and physical).
Prepare professional correspondence, reports, and presentations with accuracy and attention to detail.
Handle confidential and sensitive information with discretion and integrity.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, and transportation.
Screen phone calls, emails, and other communications, and appropriately handle or redirect inquiries.
Prepare and process expense reports, invoices, and related financial documentation.
Coordinate and prioritize incoming requests, ensuring timely follow-up and completion of tasks.
Manage office supplies, liaise with vendors, and coordinate maintenance activities.
Assist in organizing meetings, conferences, and company events.
Represent the organization in a professional manner while interacting with internal and external stakeholders.
Collaborate with team members to streamline administrative processes and enhance overall efficiency.
Qualifications & Skills :
Bachelor’s degree in Business Administration or a related field (preferred).
3 to 5 years of proven experience as a Secretary, Personal Assistant, or in a similar administrative role within an IT company.
Excellent organizational and multitasking abilities with strong attention to detail.
Proficiency in
Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
and related tools.
Strong written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information professionally.
Effective problem-solving and decision-making skills.
Self-motivated, with the ability to work independently as well as collaboratively.
Flexible and adaptable to shifting priorities in a fast-paced environment.
