Job Description – Purchase Specialist (Cloud Kitchen)

Reports To : SCM Head / Head of Procurement
Position Overview :
The Purchase Specialist will be responsible for sourcing, negotiating, and procuring goods and services required for smooth functioning of cloud kitchens across the region. The role requires prior experience in procurement for cloud kitchens or F&B businesses, with expertise in categories such as Grocery, Vegetables & Fruits, Dairy, Frozen Items, and Housekeeping Supplies. The candidate will play a critical role in ensuring quality, cost efficiency, and timely availability of supplies to support uninterrupted kitchen operations.
Key Responsibilities :
1. Procurement & Vendor Management
- Identify, evaluate, and onboard reliable vendors / suppliers across all categories (grocery, vegetables, dairy, frozen, housekeeping).
- Maintain strong vendor relationships while ensuring competitive pricing and service quality.
- Negotiate contracts, credit terms, and delivery timelines aligned with company policies.
- Conduct regular market research to benchmark prices and ensure cost competitiveness.
2. Category Management
Grocery : Source staples, dry items, packaged foods, condiments ensuring quality standards and shelf-life compliance.Vegetables & Fruits : Establish reliable supply chain with daily / weekly delivery schedules, maintaining freshness and minimizing wastage.Dairy : Procure milk, paneer, curd, butter, cheese, etc. with strict adherence to temperature-controlled supply chain.Frozen : Source frozen meats, seafood, bakery items ensuring food safety, proper storage, and vendor hygiene compliance.Housekeeping : Ensure uninterrupted supply of cleaning chemicals, disposables, cutlery, packaging material, and hygiene products.3. Demand & Inventory Planning
Work closely with the SCM and Operations teams to forecast requirements based on outlet sales trends.Plan procurement schedules to balance stock availability and working capital utilization.Monitor inventory levels and trigger timely replenishments to prevent stock-outs or overstocking.4. Compliance & Quality Control
Ensure all purchases meet FSSAI, GST, and other regulatory compliances.Conduct quality checks during inbound delivery, especially perishables like vegetables, dairy, and frozen.Maintain vendor audit reports to ensure adherence to hygiene and safety standards.5. Cost Control & Reporting
Continuously work on cost optimization while maintaining quality.Track purchase orders, GRNs (Goods Receipt Notes), and payment cycles in coordination with Accounts.Prepare periodic MIS reports (daily / weekly / monthly) on purchase spend, vendor performance, and cost savings.Key Skills & Competencies :
Strong negotiation and vendor management skills.Good understanding of food supply chain, perishables handling, and cold storage logistics.Knowledge of local markets, seasonal variations in prices, and sourcing alternatives.Hands-on experience with ERP / procurement software.Strong communication and coordination skills to work cross-functionally with kitchen operations, SCM, and finance teams.Ability to handle high-pressure situations and ensure timely supplies to multiple outlets.Qualifications & Experience :
Graduate in Supply Chain / Business Administration / Hotel Management or related field.3–6 years of experience in procurement, preferably in cloud kitchens, QSRs, or F&B companies.Proven track record of handling procurement in categories like grocery, vegetables, dairy, frozen, and housekeeping.Growth Path :
This role offers growth into Regional Purchase Manager and further into National Category Manager roles based on performance and ability to scale procurement operations.
