Job Summary
We are looking for a proactive, organized, and detail‑oriented Executive Assistant to support our senior leadership team. The ideal candidate will manage schedules, communication, travel, and other administrative tasks to help ensure smooth day‑to‑day operations. As the Executive Assistant, you’ll act as a trusted partner to the executive(s), anticipating needs and ensuring that priorities are handled efficiently.
Key Responsibilities
- Manage the executive’s calendar : schedule meetings, appointments, video calls; coordinate internal & external engagements.
- Arrange travel : flights, hotels, local transport; prepare detailed itineraries.
- Handle communications : filter emails, calls; draft and send responses or memos.
- Prepare and organize reports, presentations, meeting agendas, minutes.
- Maintain filing systems, records and data (physical & digital).
- Coordinate internal teams and external stakeholders as needed.
- Assist with expense reports, invoices, reimbursements.
- Manage time‑sensitive tasks and follow up.
- Maintain confidentiality of sensitive information.
Required Skills & Qualifications
Bachelor’s degree (or equivalent).2‑4 years (or more, as needed) experience as an Executive Assistant, Personal Assistant, or in an administrative role.Excellent organizational, planning, and time‑management skills.Strong communication skills (written & verbal).Proficiency with Microsoft Office (Word, Excel, PowerPoint) and / or Google Workspace.Ability to multitask, prioritize, and adapt to changing demands.High level of discretion and confidentiality.Attention to detail; strong problem‑solving skills.Preferred Qualifications (optional)
Familiarity with tools such as Slack, Zoom, Asana, Trello or other project management / collaboration tools.Some experience in preparing financial documents, budgets or expense tracking.What We Offer
