Executive / Snr Executive - Sourcing & Procurement

Overview

The Procurement Executive will be responsible for sourcing, purchasing, and coordinating the supply of finished pharmaceutical formulations from approved domestic / international suppliers. The role involves vendor management, price negotiations, order planning, documentation, and ensuring timely supplies to meet business and regulatory requirements.

Major responsibilities include :

• Sourcing & Procurement
• Identify and onboard new suppliers for finished formulations (tablets, capsules, injectables, syrups, etc.).
• Request and evaluate quotations, negotiate pricing, terms, and minimum order quantities.
• Maintain approved vendor lists and ensure procurement is as per company SOPs.
• Order Planning & Coordination
• Create purchase orders, track shipments, and ensure timely delivery from suppliers.
• Coordinate with internal sales, logistics, and quality teams to plan procurement as per demand.
• Maintain optimum inventory levels and avoid stockouts or overstocking.
• Vendor Management
• Build strong vendor relationships to ensure competitive pricing and reliable supply.
• Evaluate vendor performance periodically (quality, delivery timelines, pricing consistency).
• Resolve supplier issues such as delays, short supplies, documentation errors, etc.
• Commercial & Documentation
• Handle all purchase-related documents : POs, proforma invoices, agreements, delivery challans.
• Coordinate for GST invoices, batch documents, COAs, and regulatory paperwork as required.
• Ensure compliance with pharma procurement standards and audit-ready documentation.
• Market Intelligence & Database Management
• Track market trends, availability of key molecules, and pricing fluctuations.
• Provide regular updates to management on pricing changes and procurement risks.
• Coordination with QA & Logistics
• Work closely with QA team for product approvals, COA verification, and supplier audits.
• Coordinate with logistics for smooth transportation, documentation, and dispatch follow-up.

Skills required :

Bachelor’s degree in Pharmacy, Science, Commerce , or related field.

At least 1–2 years of experience in procurement / purchase within a pharmaceutical trading or manufacturing company is required

Good knowledge of pharma finished formulations , product categories, and suppliers.

Good negotiation and communication skills.

Understanding of GST, documentation, and basic regulatory requirements.

Proficiency in MS Excel, Google Sheets, email communication, and ERP (if applicable).

Ability to multitask, prioritize, and work under timelines.

Job Type : Full-time, Permanent

CTC : INR 2.5 lakhs to 6 lacs per annum, depending on the candidate
