Position Overview

We are seeking a Receptionist (Front Office Executive) with 5+ years of experience in handling reception, travel coordination, vendor management, and administrative support. The ideal candidate will be the first point of contact for visitors and callers, while also ensuring smooth travel arrangements and vendor coordination for the organization.

Key Responsibilities

Front Office Management

Greet and assist visitors, clients, and vendors in a professional manner.

Handle incoming calls, emails, and correspondence efficiently.

Maintain visitor logs, appointments, and meeting room schedules.

Travel Management

Coordinate domestic and international travel arrangements (flights, hotels, transport).

Manage travel expense records and approvals.

Liaise with travel agencies and vendors for cost-effective solutions.

Vendor Management

Handle vendor coordination for office supplies, housekeeping, and facility services.

Negotiate contracts and ensure timely payments.

Maintain vendor database and performance records.

Administrative Support

Assist HR and Admin teams with documentation, filing, and approvals.

Support in organizing company events, meetings, and conferences.

Ensure smooth day-to-day office operations.

Qualifications & Skills

Graduate in any discipline (preferred : Administration / Commerce / Management).

5+ years of relevant experience in reception, travel, and vendor management.

Strong communication and interpersonal skills.

Proficiency in MS Office (Word, Excel, Outlook).

Ability to multitask, prioritize, and maintain confidentiality.

Professional demeanor with excellent organizational skills.
