Administrative Assistant Job Description
We are seeking a skilled Administrative Assistant to support our team in various administrative tasks. This role involves providing high-level administrative support, handling financial transactions, and ensuring the smooth operation of our office.
Key Responsibilities :
- Support the Corporate team in management of Subsidiaries
- Collaborate in administrative and accounting management of Group's subsidiaries in LATAM and UAE
- Collect and validate financial information submitted by subsidiaries
- C Coordinate international administrative tasks (documentation, reporting, intercompany reconciliations)
- Review Reports and Expense Control
- Register customer and supplier invoices in accounting system once enabled for subsidiaries
- Bank and account reconciliations
- Support preparation of periodic taxes
- Collaborate in preparation of periodic reports (balance sheets, income statements, management reports)
- Track payments and collections
- Support monthly and annual accounting closings
- Digital file management
- Registration and control of administrative documentation
- Support registration procedures with suppliers, customers, banks and official bodies
Required Skills and Qualifications :
Accounting Knowledge : Familiarity with basic accounting principles and ability to apply them in practiceExcel : Intermediate levelManagement of Accounting Software : Experience in use of accounting software for SMEs such as QuickBooks or similar systemsFluency in English is required, fluency in Spanish will be considered an assetAnalytical Skills : Ability to analyze financial data and detect discrepancies or errorsAttention to Detail : Accuracy in recording transactions and preparing financial / accounting reportsOrganization : Ability to manage multiple tasks and maintain efficient work scheduleCommunication : Ability to communicate clearly and effectively with other team members, employees, vendors, and customersProfessional Ethics : Commitment to confidentiality and integrity in handling sensitive financial informationValuable experience in administrative departmentBenefits :
