Roles and Responsibilities – Assistant Manager (HR & Payroll Administration)
1. Payroll Administration
- Manage end-to-end payroll processing for all divisions through HR software such as GRYT HR , PeopleStrong , or any other ERP system.
- Ensure accuracy in attendance, leave records, and statutory deductions before final payroll release.
- Conduct monthly internal checks to prevent mismatches between attendance and payroll registers.
- Maintain payroll approval trail and ensure timely disbursement of salaries as per management schedule.
- Support internal and statutory audit teams by providing verified payroll data and justifications promptly.
2. Compliance & Statutory Management
Ensure adherence to all statutory compliance requirements including PF, ESI, Gratuity, Bonus, LWF, and Professional Tax .Monitor timely remittance of all statutory payments and maintain necessary proof of submission.Keep all compliance registers and records updated in both digital and physical formats for audit reference.Coordinate with statutory authorities, auditors, and consultants for inspections, notices, or queries .Implement corrective and preventive measures based on audit observations .3. HR Data Management
Maintain and update employee master data , payroll history, and HR analytics in the ERP system.Ensure data accuracy, confidentiality, and completeness of all employee-related information.Periodically review and deactivate resigned employee records from the ERP.Ensure all employee documents are uploaded in the system (ID proof, bank details, and statutory forms).Prepare monthly HR dashboards for management, covering headcount, attrition, and compliance status.4. Coordination & Support
Liaise with Accounts, Admin, and Divisional HR teams to resolve payroll or employee-related queries promptly.Coordinate with ERP / IT teams for system-related issues, updates, and integration improvements.Facilitate internal audit processes — providing required data, validating findings, and ensuring closure of audit points.Submit monthly Payroll and Compliance MIS Reports to Management by the 5th of every month.Ensure smooth coordination during ERP audits and software migrations .5. Internal Audit & Control Responsibilities
Act as the first point of contact for payroll and HR audit clarifications .Review all audit observations, prepare department replies, and implement corrective actions.Maintain a Payroll & Compliance Audit Tracker to ensure timely closure of open points.Strengthen process controls to avoid recurrence of audit issues.
