Job description

The Facilities Executive will be responsible for managing daily facility operations, ensuring a safe, efficient, and well-maintained work environment. This role requires strong coordination skills, attention to detail, and the ability to supervise vendors, housekeeping, security, maintenance, and overall office upkeep.

Key Responsibilities

Facility Operations & Maintenance

  • Oversee daily facility operations, including housekeeping, security, pantry, and office upkeep.
  • Ensure all office equipment, electricals, plumbing, and infrastructure are functioning properly.
  • Coordinate preventive and corrective maintenance with vendors / technicians.
  • Monitor cleanliness, hygiene, and safety standards across the premises.

Vendor & Service Management

  • Manage vendor relationships for housekeeping, security, maintenance, and office supplies.
  • Supervise vendor performance, attendance, and service quality.
  • Process invoices, maintain AMC agreements, and track renewals.
  • Space & Asset Management

  • Support in space planning, seating allocation, and workstation management.
  • Maintain inventory of office assets, stationery, pantry items, and supplies.
  • Track stock levels and initiate timely procurement.
  • Health, Safety & Compliance

  • Ensure compliance with safety protocols, fire safety equipment, and emergency procedures.
  • Conduct regular safety checks and coordinate with external agencies for audits.
  • Maintain records related to facility compliance, licenses, and statutory documentation.
  • Administrative Support

  • Manage courier services, office dispatch, meeting room bookings, and general admin requests.
  • Assist in setup for internal meetings, events, and trainings.
  • Coordinate with IT / HR / Admin teams for facility-related needs.
  • People & Coordination

  • Address employee concerns related to workspace, environment, and facilities.
  • Liaise with building management for repairs, access control, parking, and infra issues.
