Position : Project Manager, Knowledge Networks Awards Program (RegulatingAI & CAIO Connect)
Overview : The Event / Awards Project Manager will lead the planning and execution of Knowledge Networks’ global Awards program (launching Jan 2026). This role reports to the and requires end-to-end project management of the awards initiative, ensuring timely delivery, budget compliance, and strategic impact.
Key Responsibilities :
Program Planning : Develop detailed project plans (timelines, budgets, resource plans) for each award cycle. Define award categories and criteria in coordination with leadership.
Coordination & Execution : Manage the nominations process (portal setup, entry tracking), coordinate judging logistics, and oversee the awards ceremony production. Liaise with vendors (venue, AV, catering, graphics, etc.) to ensure smooth execution.
Marketing & Outreach Collaboration : Work with the Marketing Lead to align outreach campaigns. Ensure nominations callouts, finalist announcements, and winner promotions occur per schedule. Support PR efforts and social media campaigns.
Stakeholder Management : Act as liaison between Knowledge Networks, partner organizations, sponsors, and Advisory Board members. Organize judging panels and communicate requirements. Maintain positive relationships with sponsors and ensure fulfillment of their benefits.
Budget & Finance : Track expenses against budget. Coordinate sponsorship invoicing and ticketing revenue. Monitor financial performance and report variances. Optimize cost-efficiency (e.g. negotiating in-kind contributions).
Reporting & Documentation : Produce regular status reports (milestones, KPIs) for senior leadership. Document processes and lessons learned after each cycle. Ensure all contracts, vendor agreements, and project assets are filed.
Team Leadership : Guide the Awards team (marketing, events, technical staff) and volunteers. Delegate tasks effectively. Facilitate team meetings and ensure accountability for deliverables.
Qualifications :
Bachelor’s degree (Business, Marketing, Event Management, or related field). MBA or PMP certification is a plus.
Project Management Experience : 5+ years managing complex events or award programs end-to-end. Proven track record delivering projects on time and on budget.
Industry Knowledge : Familiarity with technology or AI industries is strongly preferred. Understanding of AI governance or technology policy is a plus.
Communication Skills : Excellent written and verbal communication. Comfortable presenting to executives and coordinating with high-level stakeholders (CEOs, government officials, media).
Organizational Abilities : Exceptional planning and multi-tasking skills. Proficiency with project management tools (e.g. Asana, MS Project) and budgeting software.
Relationship Builder : Experience securing sponsorships or partnerships is desirable. Strong networking skills to engage corporate, media, and policy partners.
Travel and Flexibility : Able to travel internationally for key events. Willingness to work occasional evenings or weekends around ceremonies.
Reporting Structure : Reports to the President. Collaborates closely with the Marketing & Communications Lead, Partnerships Lead, and Events Manager. The role does not have direct reports initially but will manage cross-functional project teams and volunteers (e.g. events staff, contract resources).
