Job Description – Senior Purchase Manager

1. Position Summary
The Senior Purchase Manager is responsible for end-to-end procurement of SS / MS materials, engineering components, consumables, and capital items while ensuring timely availability, cost efficiency, and compliance with ISO standards. This role requires strong vendor management, job-work handling, import documentation knowledge, and team leadership to support smooth production operations.
2. Key Responsibilities
Procurement & Inventory Control
Purchase SS, MS materials, mechanical parts, consumables, machine spares, moulds, dies, gauges, and capital goods.
Review purchase requisitions, prepare and process Purchase Orders in ERP, and ensure compliance with ISO procedures.
Ensure timely delivery of required materials to avoid production delays.
Maintain optimum inventory levels, monitor reorder points, and control stock as per company guidelines.
Conduct cost negotiations, implement cost-saving initiatives, and achieve competitive pricing.
Vendor Management
Identify, evaluate, and develop new vendors from pharma / industrial sectors.
Maintain strong vendor relationships and ensure consistent quality and delivery performance.
Conduct supplier audits, performance reviews, and update Approved Vendor List (AVL) as per ISO requirements.
Handle job-work vendors for machining, fabrication, and processing work and ensure timely completion of outsourced work.
ISO Compliance & Documentation
Ensure adherence to ISO rules, purchasing procedures, and documentation standards.
Maintain supplier evaluation forms, quality ratings, job-work records, challans, and inspection reports.
Support internal and external audits with required documentation.
Import, Commercial & Tax Compliance
Manage import-related documentation, freight coordination, customs clearance, and logistics.
Ensure compliance with GST, taxes, octroi, duties, and commercial terms.
Verify vendor invoices, coordinate debit notes, advances, and necessary approvals with Accounts.
Technical & Operational Skills
Read and interpret engineering design drawings for technical procurement.
Good understanding of machining processes, fabrication, and mechanical job-work operations.
Problem-solving ability related to quality issues, supplier delays, and production requirements.
Team Leadership
Lead and guide the purchase team for daily operations.
Train team members on ISO practices, vendor handling, ERP usage, and documentation discipline.
Monitor team performance and ensure efficient workflow in the purchase department.
3. Qualifications & Experience
BE Mechanical is mandatory.
8–12 years of experience in Purchase (preferably from Pharma or Industrial background).
Strong knowledge of SS / MS materials, machining processes, and mechanical components.
Experience in vendor management, job-work handling, and import documentation.
Proficient in ERP systems and MS Office.
Strong negotiation skills, communication skills, and analytical ability.
4. Physical Requirements
Ability to read and understand engineering drawings.
Comfortable visiting vendor locations, job-work units, and manufacturing facilities.
Ability to inspect materials and perform field evaluations.
5. Work Environment
Office and manufacturing environment with regular documentation, ERP usage, and coordination.
