The George Institute India
The George Institute a wholly owned legal not-for-profit Indian research institute has been conducting research related activities in India since 2002. The George Institute Indias mission mirrors that of the parent organization namely the discovery and implementation of solutions to chronic and disabling health problems through research policy development and capacity building.
A number of large-scale projects in population health systems and clinical research funded by a diverse group of sponsors both public and private are conducted in India. The George Institute India comprises two distinct operating groups : Research and Development and Infrastructure and Resources. It has two separate offices - in Hyderabad and New Delhi where the research staff and senior management are based.
Context and Role
The George Institute for Global Health in India is growing at a phenomenal pace. The Admin Assistant will support the Assistant Manager admin in the administration of the India office and support initiatives systems and standards.
Reporting Relationships
Directly reports to Assistant Manager Admin
Duties and Key Responsibilities
Provide comprehensive support in office administration and day-to-day operations.Manage travel arrangements including booking taxis domestic and international air tickets.Arrange logistics support such as hotel bookings for project staff and foreign visitors.Managing day-to-day office maintenance.Identify and evaluate potential suppliers based on cost quality delivery timelines and other relevant criteria.Handle and coordinate translation and transcription requests by liaising with internal stakeholders and external service providers ensuring timely delivery quality control and adherence to confidentiality protocols.Negotiate pricing terms and contracts with vendors to ensure cost-effectiveness.Build and maintain strong relationships with key suppliers and service providers.Ensure timely procurement of goods and services in alignment with project timelines.Handle procurement activities including collecting quotations issuing purchase orders (POs) and vendor coordination.Track and process admin-related bills monitor due dates verify invoices prepare vouchers and coordinate payments.Maintain and regularly update administrative trackers and records.Provide administrative support for organization-wide meetings workshops and events.Maintain accurate and organized documentation of all admin and procurement files.Travel to project locations state offices and head office as required by project needs.Provide support during donor visits internal reviews statutory audits and project audits.Assist in general administration tasks and other duties assigned by the supervisor.Coordinate closely with the finance team for payments reconciliations and other requirements.Any other tasks or responsibilities as assigned by the supervisorAs a Team Member :

Comply with Gls Work Health and Safety Policy and related procedures and similar policies which when visiting the premises of affiliates and collaborating sites.Promote and contribute to a safe secure environment for staff and visitors.Skills Knowledge and Experience
Qualifications : Bachelors degree in commerce business administration or related field preferred with 2 to 5 years of experience in procurement and admin roles.Excellent written and verbal communication skills.Fluency in Hindi and English is essential and Telugu will be desirable.Excellent time management skills; ability to prioritizeWillingness to learn and grow with the organization and stay motivated to take on additional projects and solve problemsSelf-directed and able to work without supervisionPrior experience in handling administrative responsibilities independently.Highly organized multi-tasker who works well in a fast-paced environmentGood negotiation skills with experience in dealing at all levelsProficient computer skills including Microsoft Office (Word PowerPoint and Excel); scheduling appointments / updating calendars a mustDemonstrated resourcefulness with the ability to influence others to achieve common goals;;Excellent interpersonal skills with high level of proficiency in English and the ability to work well autonomously;Excellent teamwork / Ieadership skills with demonstrated ability to collaborate in small teams and with a wide range of varying stakeholders;Ability to demonstrate flexibility and to be adaptable to changing organisational priorities and ambiguous environments;Strong focus on producing the highest quality of work and on ensuring optimum accuracy of outputs;Well organised and efficient with the capacity to work under pressure;For more details please see the Position Description for this role.
