Role Overview
We are seeking a highly organized and proactive Executive Secretary to provide comprehensive administrative and operational support to a Senior Partner at the firm. The ideal candidate should have prior experience working in a law firm environment and possess strong coordination, communication, and client-handling skills.
Key Responsibilities
Executive & Administrative Support
- Manage the Partner’s calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, including preparation of agendas and documents.
- Handle confidential correspondence, emails, and documentation.
- Maintain organized records, files, and databases.
Client Coordination
- Act as a key point of contact between the Partner, clients, and internal teams.
- Schedule client meetings and ensure seamless communication and follow-ups.
- Maintain professionalism and confidentiality in all client interactions.
Billing & Invoicing
- Assist with client billing processes, including timesheet tracking and invoice preparation.
- Coordinate with finance teams for billing cycles, collections, and reconciliations.
Operational Support
- Manage expense reimbursements and vendor coordination.
- Support in preparing presentations, reports, and documentation.
- Ensure smooth day-to-day administrative functioning.
Candidate Requirements
- 7+ years of experience as an Executive Secretary/Assistant, preferably in a law firm environment..
- Strong understanding of law firm workflows and professional etiquette.
- Excellent communication, coordination, and organizational skills.
- Proficiency in MS Office tools and calendar management systems.
- Ability to handle sensitive information with discretion.
- Experience in client billing/invoicing will be an added advantage.
