Job Description: Executive Assistant
Key Responsibilities
* Manage the executive's calendar, meetings, appointments, and scheduling.
* Draft, organize, and respond to emails while maintaining the executive's communication style.
* Prepare meeting summaries, action items, reports, and presentations.
* Coordinate follow-ups with clients, vendors, and internal stakeholders.
* Track tasks, deadlines, and ongoing projects to ensure timely completion.
* Organize documentation and maintain accurate records.
* Conduct online research and compile information for decision-making.
* Use AI tools to summarize meetings, create documentation, and improve productivity.
* Anticipate the executive's needs and proactively resolve issues before they arise.
* Assist with administrative processes and operational coordination.
* Build a strong understanding of the executive's working style to become a long-term strategic support partner.
Required Skills & Qualifications
* 2+ years of experience as an Executive Assistant, Virtual Assistant, Project Coordinator, or Administrative Assistant.
* Excellent verbal and written English communication skills.
* Strong organizational and time management abilities.
* Outstanding problem-solving mindset with high attention to detail.
* Self-starter who takes initiative and requires minimal supervision.
* Ability to prioritize multiple tasks in a fast-paced environment.
* Professional, dependable, and highly confidential.
* Comfortable working during Canadian/Eastern Time business hours.
* Proficiency in Microsoft Office, Google Workspace, Zoom, Slack/Discord/WhatsApp, and AI productivity tools (e.g., ChatGPT, Zoom AI, meeting transcription tools).
