Event Manager

About the Role

We are looking for an experienced, highly organized, and ownership-driven Event Manager to lead the planning, coordination, and execution of high-impact marketing and corporate events across Odisha and India.

The ideal candidate will be responsible for managing end-to-end event execution, including event planning, budgeting, vendor management, venue coordination, branding, logistics, stakeholder management, and on-ground operations. This role requires someone who can independently manage multiple events simultaneously while ensuring flawless execution and exceptional brand representation.

Key Responsibilities

Event Strategy & Planning

• Plan, organize, and execute end-to-end events including:
• Dealer Meets
• Distributor Meets
• Product Launches
• Corporate Conferences
• Training Programs
• Channel Partner Meets
• Exhibitions & Trade Shows
• Brand Activation Campaigns
• Internal Corporate Events
• Develop comprehensive event plans, timelines, budgets, and execution roadmaps.
• Define event objectives, deliverables, and success metrics.
• Coordinate with internal stakeholders to ensure seamless execution.

Venue & Vendor Management

• Identify, evaluate, negotiate, and finalize event venues.
• Manage relationships with:
• Hotels
• Convention Centers
• Banquet Venues
• Exhibition Organizers
• Event Agencies
• Source, negotiate, and manage vendors including:
• Branding Agencies
• Fabricators
• Printing Vendors
• Audio-Visual Partners
• Decorators
• Photographers & Videographers
• Caterers
• Logistics & Transportation Providers
• Ensure timely delivery of all vendor commitments within budget.

Branding & Marketing Collateral

• Coordinate the development and production of event branding materials including:
• Event Presentations
• Backdrops
• Standees
• Brochures
• Product Display Units
• Invitation Creatives
• Signages
• Promotional Merchandise
• Collaborate closely with the marketing and design teams to maintain brand consistency across all event touchpoints.

Event Execution & Operations

• Lead complete on-ground event management from setup to closure.
• Oversee venue setup, branding installation, registration desks, stage management, and guest experience.
• Coordinate speakers, presenters, exhibitors, and event schedules.
• Ensure smooth execution of presentations, product demonstrations, and networking sessions.
• Handle real-time troubleshooting and resolve operational challenges efficiently.
• Ensure adherence to safety, quality, and brand standards throughout the event.

Travel & Logistics Management

• Plan and coordinate travel, accommodation, and transportation for guests, speakers, and internal teams.
• Manage dispatch and movement of event materials, products, branding assets, and promotional merchandise.
• Ensure timely delivery and setup of all event-related resources.

Budget Management & Reporting

• Prepare event budgets and secure necessary approvals.
• Monitor event expenses and optimize costs without compromising quality.
• Track vendor invoices and payment schedules.
• Prepare comprehensive post-event reports including:
• Attendance & Participation Analysis
• Event Highlights
• Photo & Video Documentation
• Lead Generation Data
• ROI & Performance Metrics
• Feedback & Improvement Recommendations

Exhibition & Trade Show Management

• Plan and execute the company's participation in exhibitions and trade fairs.
• Coordinate stall design, fabrication, branding, installation, and dismantling.
• Ensure effective product displays and visitor engagement.
• Manage exhibition logistics and on-site operations.

Stakeholder Management

• Build and maintain strong relationships with dealers, distributors, customers, vendors, agencies, and business partners.
• Represent the company professionally during all external engagements.
• Coordinate effectively with cross-functional teams including Sales, Marketing, Product, Procurement, Finance, and Operations.
