Role Overview
Drishti IAS is launching a flagship podcast series to host thoughtful conversations with bureaucrats, social-impact leaders, authors, entrepreneurs, educators, influencers and other notable personalities. We are seeking a proactive Guest Coordinator to identify, engage, and manage relationships with potential guests and to ensure a flawless guest experience from outreach through recording and post-production collaboration.
Key Responsibilities
- Identify and research potential podcast guests across public policy, education, social impact, literature, entrepreneurship and media.
- Initiate targeted outreach to speakers, influencers and public personalities; craft personalised invitations and follow-up communications.
- Manage guest scheduling, confirmations, pre-interview briefings, and logistics (studio/remote setup, travel arrangements where required).
- Coordinate with internal teams (content, production, marketing, legal) to prepare episode briefs, question sets, and promotional plans.
- Facilitate smooth guest experience on recording day: technical checks, run-sheets, introductions and on-the-day support.
- Maintain and nurture a guest pipeline and CRM with contact details, outreach history, AV preferences and availability windows.
- Track deliverables and follow-ups after recordings: episode approvals, promotional assets, thank-you notes and potential collaboration opportunities.
- Build long-term relationships with influencers, authors, and institutional contacts to create recurring guest opportunities and partnerships.
- Manage stakeholder communication, report outreach metrics, and suggest improvements to guest acquisition strategy.
Required Skills And Experience
- 1–4 years experience in guest/speaker coordination, talent management, PR, influencer outreach, event management or related roles.
- Strong written and verbal communication; ability to write concise, personalised outreach messages.
- Excellent relationship management and stakeholder engagement skills.
- Comfortable scheduling and logistics coordination across time zones and busy calendars.
- Familiarity with podcast production workflows and virtual recording tools (Zoom, Riverside, Zencastr, etc.) is preferred.
- Organised, proactive, and detail-oriented with the ability to manage multiple concurrent guest tracks.
- CRM and calendar management skills (HubSpot, Trello, Airtable, Google Workspace, or equivalent).
- Professional demeanour and discretion when dealing with high-profile guests.
- Passion for public policy, education, and storytelling is a plus.
