Operations Specialist – Design

Overview of the Role:

We are looking for an organized and proactive Associate or Senior Associate to support the day-to-day operations of our Learning Design team. The person will coordinate projects, maintain project information, track deliverables, and collaborate with internal teams to ensure work is completed on time and according to quality expectations.

Key Responsibilities:

- Coordinate learning design projects, tasks, timelines, and deliverables

- Maintain project plans, trackers, documentation, and status reports

- Follow up with team members and stakeholders to ensure timely completion of assigned tasks

- Use project management and collaboration tools such as Airtable, Wrike, Jira, and Confluence

- Support resource allocation, workload tracking, and project scheduling

- Identify delays, risks, and dependencies and communicate them to the appropriate stakeholders

- Assist in preparing project reports, dashboards, meeting notes, and process documentation

- Coordinate meetings and maintain clear records of decisions and action items

- Support continuous improvement by identifying gaps and suggesting practical process improvements

- Work with internal teams to resolve operational issues and negotiate realistic timelines and priorities

Required Skills and Eligibility:

- 1–2 years of experience in project coordination, operations, learning design operations, or a related role

- Bachelor’s degree in Business Administration, Operations, Project Management, Education, or a related field

- Working knowledge of tools such as Airtable, Wrike, Jira, Confluence, Microsoft Excel, or similar platforms

- Basic understanding of project management tools, techniques, and workflows

- Excellent written and verbal communication skills

- Good negotiation and stakeholder-management skills

- Strong organizational skills with attention to detail

- Ability to manage multiple tasks and priorities in a fast-paced environment

- Good problem-solving and analytical abilities

- A collaborative attitude and willingness to learn

- Ability to work independently and follow through on assigned responsibilities

Preferred Skills:

- Experience supporting learning design, content development, creative, or instructional design teams

- Familiarity with project dashboards, reports, workflows, and automation

- Basic knowledge of Agile, Scrum, or other project management methodologies

- Project management certification or relevant training would be an advantage
