Front Desk Management & Visitor Interaction
- Greeting and Welcoming :
- Serving as the first point of contact, receptionists welcome visitors and clients in a friendly and professional manner.
- Directing Visitors :
- Guiding guests to the appropriate person or department, which may include preparing visitor access cards.
- Visitor Logs :
- Maintaining accurate visitor logs, noting who they are meeting and the purpose of their visit.
Communication & Correspondence
Phone Systems :Answering, screening, and directing incoming phone calls to the correct individuals or departments.Mail & Deliveries :Receiving, sorting, and distributing incoming mail and packages, as well as preparing items for dispatch.Administrative & Organizational Support
Scheduling :Managing calendars and scheduling appointments, meetings, and conference room bookings.Office Supplies :Monitoring office supply levels and reordering replacements when necessary.Filing & Data Entry :Assisting with administrative tasks such as organizing files and performing data entry.General Support :Providing general information about the company and its services to visitors and staff.Professionalism & Office Maintenance
Tidy Reception Area : Ensuring the reception area is clean, organized, and welcoming at all times.Adherence to Protocols : Following security protocols for building entry and visitor management.Technical Proficiency : Using and maintaining office equipment like computers, phones, printers, and copiers
