Position : Project Design Planner

PURPOSE
The purpose is to drive project success through effective planning and management, efficient resource use, clear communication, and adherence to established processes.
To drive planning, coordination, and execution across design functions, ensuring timely and high-quality project delivery.
AREAS OF OWNERSHIP & ACCOUNTABILITY
- Coordinating and Scheduling: Create and keep track of project timelines to ensure everything is done on schedule. - Tracking and Reporting: Monitor progress, keep records, and regularly update management and stakeholders. - Standardization and Process Improvement: Set up and maintain standard procedures and documents for consistency and efficiency. - Resource Management: Plan and allocate resources effectively to meet project goals. - Quality and Compliance: Regularly check that processes are followed and standards are met. - Issue Resolution and Adaptation: Solve problems quickly and adjust plans as needed to keep the project on track. - Technology and Tools Management: implementation and improvement of tools and technologies used in the organization for design management. - Financial Management: Handle billing for design work to ensure accurate reporting.
DELIVERABLES
Planning and Monitoring
- Ensure that the GFC release information is accurately updated in the Design Fee Schedule. - Prioritize and allocate tasks and resources efficiently to meet project deadlines and objectives. - Organize and facilitate design timeline meetings to review project milestones, deadlines, and deliverables. - Document meeting outcomes and action items, ensuring follow-up on assigned tasks. - Manage the distribution, and tracking of GFC documentation and transmittals. - Track and manage RFIs and construction issues. - Develop, maintain, and monitor the project schedule to ensure timely completion of milestones. - Update schedules based on project progress and any changes to scope or requirements. - Assist in setting and tracking OKRs related to project goals and performance metrics. - Facilitate communication and coordination between different departments to ensure alignment on project objectives and deliverables. - Address and resolve any inter-departmental issues or conflicts. - Oversee the completion and submission of timesheets by project team members. - Maintain and update production reports and trackers - Ensure that all required project documents are correctly uploaded and updated in the Document
Management System.
- Regularly update and organize project-related photographs in a central location. - Conduct regular audits of site documentation to ensure completeness and compliance with project requirements. - Perform an annual review and analysis of the Rate Master to ensure that rates are current and competitive.
Knowledge Management
- Maintain and update design guidelines and standard details to ensure consistency and quality in design deliverables. - Manage and update master documents, including templates, standards, and references - Support the creation and management of marketing collateral related to projects. - Coordinate with the marketing team to ensure that collateral accurately represents the details (Specifications) - Oversee the effective use of the Document Management System for storing and managing project documents.
Sales and Marketing
- Facilitate communication and coordination with stakeholders. - Review and validate marketing and project collateral to ensure accuracy and relevance. - Manage Collateral Docs storage
Key Requirements:
- BE (Civil) / B.Arch with 5+ years of experience in project planning/design coordination - Experience in high-rise residential/commercial projects - Strong understanding of design workflows, construction processes, and project scheduling - Proficiency in planning tools (MS Project/Primavera preferred) - Strong stakeholder management and coordination skills
