The
Bid Manager
is a central function responsible for the end-to-end management, coordination, and successful delivery of high-quality, compliant, and compelling proposals (RFPs, RFIs, proactive bids, and tenders). This role acts as the single point of contact for the bid process, driving cross-functional teams to ensure timely submission and adherence to established governance standards, ultimately maximizing the organization's win rate.
Key Responsibilities
I. Bid Lifecycle Management & Execution
Own and manage
the complete bid lifecycle, from initial opportunity qualification and receipt to final submission and post-bid review.
Conduct comprehensive analysis
and initial qualification of all received bid documents (RFPs, RFIs, etc.) to confirm requirements, scope, terms, and internal alignment.
Establish and maintain
a rigorous
Bid Plan
and timeline, defining key milestones, deliverables, and resource allocation. Secure sign-off from Pre-Sales leadership.
Lead the internal clarification process
by aggregating and finalizing complex technical, contractual, and commercial questions for submission to the client / prospect.
Drive the content creation
process, ensuring that the proposed solution themes are coherently articulated, contextualized, and mapped directly to client requirements, moving beyond generic responses.
Oversee the final production
and quality assurance of all submission documents (including the main response document and all requisite attachments, such as NDAs, contracts, and supporting materials) to ensure absolute compliance and professional presentation.
Coordinate the circulation
of all official bid correspondence, updates, Q&As, errata, and corrigendum to the core bid team and relevant stakeholders.
II. Stakeholder Collaboration & Leadership
Organize and lead
the
Bid Kick-off Call , clearly defining roles, responsibilities (using a clear
RACI
matrix), timelines, and the overall win strategy / theme for all contributing departments (e.g., Sales, Legal, Solutions, Finance, Delivery).
Facilitate effective communication
by documenting and circulating comprehensive
Minutes of Meeting (MoM)
for all bid-related meetings.
Serve as the central liaison
between Pre-Sales, Solution Architects, and the content contributors to ensure a unified and consistent narrative throughout the proposal.
Support Pre-Sales Managers
in the development and enhancement of reusable sales enablement
collaterals
and standard proposal content.
III. Governance, Quality & Process Adherence
Ensure strong adherence
to the organization’s
Standard Operating Procedures (SOPs)
and established Bid Governance frameworks.
Manage the repository
of standard content, templates, and successful bid artifacts, ensuring they are current, accurate, and readily accessible.
Conduct post-bid reviews
(win / loss analysis) to capture lessons learned and continuously improve the efficiency and effectiveness of the bid process.
Required Skills and Qualifications
Proven experience
managing the full lifecycle of complex, high-value B2B proposals / RFPs, preferably within the relevant industry (e.g.BFSI products).
Exceptional project management skills
with the ability to manage competing priorities and tight deadlines in a high-pressure environment.
Strong verbal and written communication skills
with a keen eye for detail and quality assurance.
Proficiency with MS Office
(Word, Excel, PPT etc)
A strong understanding of typical contractual and legal requirements involved in the bid process.
