We are seeking a detail-oriented and proactive Veeva Vault PromoMats Specialist with strong knowledge of Veeva Vault PromoMats and ITIL practices. The ideal candidate will manage system configuration, ensure compliance, support reporting needs, and serve as a key liaison between business stakeholders and technical teams. This role requires excellent communication, stakeholder management skills, and the ability to translate business requirements into effective technical solutions.
Key Responsibilities :
System Configuration & Maintenance :
- Configure and maintain Veeva Vault PromoMats, including document lifecycles, workflows, metadata, user roles, and permissions.
- Maintain and monitor system integrations with PromoMats and related applications.
- Ensure system stability, scalability, and alignment with business requirements.
Business & Stakeholder Engagement :
Partner with business stakeholders to gather requirements, identify gaps, and recommend feasiblesolutions.
Act as a bridge between business teams and IT to ensure requirements are met within compliance guidelines.Provide end-user support and training to enhance adoption and effective use of PromoMats.Testing & Deployment :
Develop and execute test cases for system changes and enhancements.Conduct UAT (User Acceptance Testing) and validate solutions before deployment.Support release management and deployment activities to ensure smooth delivery of changes.Compliance & Documentation :
Ensure all system changes comply with regulatory and compliance requirements (e.g., GxP, 21 CFR Part 11).Maintain accurate and up-to-date system documentation for configurations, workflows, and enhancements.Conduct periodic system audits to ensure adherence to compliance policies.Reporting & Operations :
Create and maintain reports, dashboards, and metrics to support business decision-making.Handle ad-hoc reporting and operational requests from stakeholders.Monitor system performance and proactively resolve issues.Required Qualifications & Skills :
Strong understanding and hands-on experience with Veeva Vault PromoMats.Familiarity with ITIL processes (incident, change, and problem management).Proven experience in system configuration, workflows, metadata, and user roles in PromoMats.Strong stakeholder management and communication skills (oral and written).Ability to analyze business requirements and configure feasible solutions in Veeva Vault.Experience in testing, deployment, and documentation of system changes.Detail-oriented with strong problem-solving and analytical skills.Good to Have :
Experience working with other applications hosted on the Veeva Vault platform (e.g., MedComms, QualityDocs, or Regulatory).Knowledge of compliance frameworks in life sciences and pharma domains.Exposure to Agile / Scrum methodologies for solution delivery.Soft Skills :
