Role Overview

The Chief of Staff – General Manager, Chairperson’s Office is the operational anchor and command point for all activities related to the Chairperson’s professional, institutional, and personal engagements.

This role demands a hands-on leader who can bring order, discipline, and proactive structure to a fast-moving, high-stakes environment. The Chief of Staff ensures that every engagement, meeting, journey, communication, and commitment of the Chairperson is executed with precision, professionalism, and foresight.

You will oversee end-to-end planning and logistics, coordinate multi-institutional teams, and maintain operational excellence across the Chairperson’s ecosystem. You will also serve as the Chairperson’s travel lead, protocol officer, and command hub, ensuring readiness, accuracy, and flawless follow-through at all times.

Key Responsibilities

Operational Leadership

  • Oversee the daily functioning of the Chairperson’s Office, ensuring alignment, punctuality, and clarity of roles.
  • Supervise, guide, and discipline staff to meet high standards of delivery, decorum, and professionalism.
  • Establish and enforce clear systems for scheduling, task tracking, reporting, and accountability.
  • Ensure all correspondence, briefs, and documents reaching the Chairperson are well-prepared and concise.

Travel, Logistics & Protocol Management.

  • Plan, coordinate, and personally oversee all logistics for national and international travel, including itineraries, accommodation, transport, security, and protocol.
  • Ensure all background materials, briefings, and logistics are ready well in advance of travel.
  • Travel with the Chairperson as required to supervise on-ground execution and manage contingencies.
  • Liaise with hosts, embassies, government agencies, and institutional partners to ensure flawless coordination.
  • Coordination & Follow-up

  • Ensure decisions, commitments, and instructions from the Chairperson are tracked and followed through by concerned teams.
  • Act as the single point of contact between the Chairperson and all internal teams, filtering and prioritizing requests.
  • Monitor task completion and deadlines across the Office, identifying and resolving bottlenecks.
  • Staff Management & Performance Oversight

  • Supervise Executive Assistants, Communications, PR, Strategy, and Documentation personnel within the Chairperson’s Office.
  • Set clear goals, roles, and reporting structures; hold the team accountable for timely and quality outputs.
  • Regularly review and streamline internal processes, eliminating inefficiencies and redundancies.
  • Coach and mentor team members to enhance professionalism and responsiveness.
  • Event & Engagement Oversight

  • Oversee planning and execution of high-level meetings, conferences, and events involving the Chairperson.
  • Ensure all briefing documents, speaking notes, and schedules are accurate and ready on time.
  • Handle on-site coordination during key events, ensuring protocol, comfort, and impact.
  • Represent the Chairperson’s Office to external partners or delegations as required.
  • Confidentiality & Discretion

  • Maintain the highest standards of confidentiality in handling personal, political, or institutional information.
  • Serve as the custodian of sensitive documents and ensure proper documentation, archiving, and communication channels.
  • Key Deliverables

  • Seamless coordination of the Chairperson’s day-to-day, travel, and official engagements.
  • Improved discipline, accountability, and efficiency across the Chairperson’s Office.
  • Timely delivery of all preparatory materials and follow-ups for Chairperson’s meetings and trips.
  • Streamlined communication and alignment between the Chairperson’s Office and associated organizations.
  • A professional, responsive, and reliable support structure for the Chairperson’s operations.
  • Making Notes of Meetings of CP with Dignitaries while he is travelling with him ; and make notes of other important leads gathered during visits including contact details.
  • Qualifications

    Essential :

  • 7-8 years of experience in high-level executive operations, protocol, or office management in government, corporate, or non-profit sectors.
  • Demonstrated ability to manage complex logistics and stakeholder coordination.
  • Proven track record of leading a small, high-performing team.
  • Strong communication and written skills in English; proficiency in Hindi desirable.
  • Willingness to travel extensively and work irregular hours when required.
  • Preferred :

  • Prior experience working with a senior dignitary, CEO, diplomat, or public leader.
  • Background in event management, executive coordination, or military / disciplinary institutions (a plus).
  • Degree in Management, Public Administration, International Relations, or related field.
  • Compensation

    Competitive within India’s philanthropy / social impact sector, remuneration commensurate with experience.
