Job Description — Proposal Writer (Intern)
Duration : 3 months (paid internship). Successful completion & satisfactory performance → offer of permanent employment.

Role summary
As a Proposal Writer Intern you will support the presales / proposals team in preparing high-quality proposal content and slide decks for state & federal RFPs (with a strong focus on public sector IT and healthcare / Medicaid opportunities). This is a hands-on learning role : you will draft sections, format documents, assemble compliance artifacts, and coordinate with SMEs and Technical SPOCs. The internship is designed to prepare you for a full-time Proposal Writer / Presales role.
Responsibilities (what you’ll do)
- Draft RFP sections under guidance : Executive Summary, Technical Approach, Staffing Plan, Quality Assurance, Risk Assessment, Work Plan, Past Performance summaries and Compliance Matrix.
- Format and assemble proposal documents : apply Word styles, ensure pagination, create TOCs, apply proposal templates, and prepare final PDFs for submission.
- Create and edit PowerPoint proposal / presentation decks, follow slide templates and help produce visual charts and flow diagrams (coordinate with graphic designer as needed).
- Produce past performance entries (concise S / T / A / R descriptions, measurable outcomes) and ensure alignment to RFP evaluation criteria.
- Build / maintain compliance matrices and crosswalks that map RFP requirements to proposal sections and action owners.
- Coordinate with Technical SPOCs / SMEs to collect technical inputs, follow up on open items, and consolidate responses (including short turnaround pre-bid questions).
- Use Confluence / SharePoint for document versioning and Jira / MS Project or Agile artifacts for timelines (help prepare supporting schedule tables).
- Use AI assistants (ChatGPT) and internal prompting templates to create first drafts and then edit to evaluator-grade quality.

Currently pursuing or recently completed Bachelor’s degree in English / Communications, Business, IT, Public Policy, Health Informatics or related field (or equivalent practical experience).Excellent written English : grammar, concise expression and the ability to write for technical and non-technical audiences.Comfortable with Microsoft Word, PowerPoint and Excel (intermediate). Prior experience with SharePoint / Confluence a plus.Strong attention to detail and the ability to work under tight deadlines.Team player with good communication skills — comfortable coordinating with SMEs and following instructions from senior proposal staff.Preferred (nice to have)
Prior internship / coursework in proposals, technical writing or presales.Familiarity with public-sector procurement, RFP structure, or healthcare / Medicaid content.Experience with Canva or basic slide graphic tools, and a sense for slide / storyboard design. (We use designers but interns often assemble the deck.)Evaluation & conversion to permanent role
Duration & evaluation : 3 months. Performance measured on : quality of written deliverables, adherence to templates, ability to gather SME inputs, turnaround time under deadline, and teamwork / communication.Conversion : Permanent job offer upon meeting expectations (consistent quality, initiative, and fit). Final decision made by Proposal Manager & HR.
