Role Summary
Own delivery for projects we run directly and for consultants embedded at client / vendor teams. Plan capacity, identify and clear blockers, keep timelines and scope honest, and publish clear weekly reporting. Draft SOWs / proposals and coordinate approvals. Operate comfortably in a systems integrator environment where resources split time across multiple customer projects.
Key Responsibilities
Delivery management (DataSkate-owned projects)
- Plan and run sprints / iterations; manage tasks, milestones, and Gantt views in Zoho Projects.
- Track scope, timelines, dependencies, and burn versus budget; maintain RAID logs and change controls.
- Lead ceremonies : standups, sprint planning, reviews, retrospectives; ensure release readiness and demo prep.
- Enforce SOW / PO compliance; coordinate change requests and approvals.
- Collaborate with client stakeholders to secure / renew environment and app access (VPN, credentials), vendor onboarding, and approvals; own an access checklist with owners and ETAs.
- Work with business / SMEs to clarify requirements and acceptance criteria and to coordinate non-technical dependencies (test data, UAT users, sandbox refreshes, change approvals); document decisions and assumptions.
- Maintain a stakeholder / contact map (RACI) across client IT / SecOps / Procurement and vendors; run a clear communications cadence and response-time SLAs for decisions and escalations.
Staffing & consulting placements (resources at client / vendor teams)
Track consultant tasks in client tools (Zoho Projects, Jira, ServiceNow, Asana) with clear owners, estimates, and due dates.Monitor performance versus client SLAs / KPIs; run weekly 1 : 1s; capture feedback and action plans.Operate an escalation matrix with response / resolution SLAs; document actions and follow through.Ensure consultants meet vendor / client expectations on delivery quality, communication, and timelines.Manage timesheets / approvals; forecast roll-offs / backfills and bench continuity.Commercial support (SOWs & proposals)
Draft / refine SOWs, proposals, and change orders using approved templates and clause libraries.Build proposal inputs : scope, assumptions, milestones, estimates, staffing plans, and timelines.Coordinate redlines and approvals with Sales, Delivery, Finance, and Legal through signature.Capacity planning & resource management
Publish a rolling 6–8 week capacity plan; track utilization, forecast roll-offs / backfills, and bench coverage.Align allocations across multiple concurrent customer projects; flag conflicts early with options.Trigger hiring / contracting requests with clear role definitions, start dates, and onboarding needs.Blockers & risk management
Identify blockers early (access, environments, dependencies, decisions) and drive resolution.Maintain a live risk register with owner, impact, and mitigation; escalate within agreed SLAs.Reporting & governance
Publish weekly status reports (R / Y / G health, timeline, risks / issues, actions / owners / ETAs).Prepare client-ready PPTs for governance calls; maintain dashboards in Zoho Projects and Google Sheets.Coordinate timesheets, approvals, and invoicing triggers with People Ops and Finance.Success Metrics (First 90 Days)
Weekly R / Y / G status live for all engagements; no “surprise” slippages.≥95% on-time timesheet submission for staffed resources; zero unapproved scope creep.Capacity plan published bi-weekly; variance from plan ≤10%.Standard SOW draft to internal approval ≤1 business days.Qualifications
5–7 years in project management / coordination within IT services or a systems integrator.Hands-on with Zoho Projects (tasks, Gantt, resource utilization, timesheets) and strong Google Sheets / Slides skills.Proven experience with SOWs / proposals and multi-project resource planning.Solid agile delivery fundamentals; confident running ceremonies end-to-end.Clear written / spoken communication; dependable follow-through across clients and vendors.Tools
