Job Title : Bookkeeper & Payroll Associate
Job Type : Full-time (40 hours per week)-Fully remote
We are seeking a detail-oriented and motivated Entry-Level Bookkeeper & Payroll Associate to support our clients' financial and payroll operations. This role combines full-cycle bookkeeping in QuickBooks Online with hands-on payroll processing and compliance support. The ideal candidate is eager to learn, highly organized, and passionate about accuracy and excellent client service.
Key Responsibilities
- Perform full-cycle bookkeeping using QuickBooks Online (client invoicing, bill payment, bank / credit card reconciliations, journal entries, etc.)
- Process complete payroll cycles for clients (calculating hours, wages, overtime, deductions, garnishments, bonuses, and tax withholdings) using QuickBooks Payroll, Gusto, ADP, or similar platforms
- Prepare and send client invoices, track receivables, and follow up on overdue payments
- Record and categorize transactions (A / P, A / R, expenses, income, payroll journal entries)
- Reconcile bank accounts, credit cards, loan accounts, and payroll liability accounts monthly
- Generate and analyze financial reports (Profit & Loss, Balance Sheet, payroll reports, etc.) for clients and internal review
- Ensure timely and accurate filing of payroll tax payments and returns (941s, state withholding, unemployment, etc.)
- Assist with month-end and year-end close processes, including payroll-related accruals and reconciliations
- Maintain organized, up-to-date financial and payroll records and documentation
- Communicate directly with clients regarding bookkeeping, payroll, or tax-related questions and resolve discrepancies
- Collaborate with senior bookkeepers and accountants on more complex client accounts
- Support sales tax filings and other compliance tasks as needed
Required Qualifications
Proven proficiency in QuickBooks Online (at least 1–2 years of hands-on experience) – required1–2 years of combined bookkeeping and payroll processing experience (small business, bookkeeping firm, or payroll provider experience strongly preferred)Solid understanding of payroll compliance and tax withholding basics (federal and at least one state)Strong grasp of bookkeeping principles (debits / credits, chart of accounts, accruals, payroll liabilities)High attention to detail and commitment to 100% accuracy in financial and payroll dataExcellent time-management and organizational skills with the ability to juggle multiple clients and deadlinesProfessional written and verbal communication skills (client-facing role)Ability to maintain strict confidentiality of sensitive financial and employee informationPreferred Qualifications
Associate's or Bachelor's degree in Accounting, Finance, or related fieldQuickBooks Online ProAdvisor Certification (or willingness to obtain within first 90 days – we provide training and cover exam costs)Experience with payroll platforms such as QuickBooks Payroll, Gusto, ADP Workforce Now, or PaychexPrior experience working remotely in a virtual bookkeeping or payroll firmTechnical Requirements (for remote work)
