Job Title : Crewing Executive
Reports to : Crew Manager
Overview
We are seeking a Crewing Executive with a minimum of one year of relevant experience in crewing operations. The ideal candidate will be proactive, eager to learn, and ready to take on the challenge of helping establish and develop crewing processes from the ground up.
Key Responsibilities
General
- Ensure compliance with the company’s Integrated Management System (IMS) and all relevant national and international maritime regulations.
- Perform all duties in alignment with company policies on quality, health, safety, environment, and ethics.
- Contribute to continuous improvement initiatives and provide regular performance reports.
Crew Logistics
Coordinate with vessel Masters, port agents, and stakeholders to arrange timely and efficient crew changes.Manage travel logistics including air tickets, hotel bookings, and communication with seafarers for on / off sign and training purposes.Maintain and update the CMA Ships Crew Management System – TOUCH.Organize briefing and debriefing sessions for joining and signing-off crew members.Training
Plan and schedule vessel visits to discuss crew-related issues and promote engagement, as directed by the Crew Manager.Planning
Support planning activities for crew vacations, medical care including liaison with P&I team, certifications, and other personnel requirements.Assist in preparing 12-month forward crew shift plans for all ratings.Ensure onboard crew compliance with company crewing policies and procedures.Document Control
Monitor and update seafarer documentation, ensuring timely renewal of certificates and licenses.Manage candidate data entry in TOUCH and payroll systems.Support certificate appraisal and approval processes.Organize and maintain both hard and soft copies of crew-related records as required in compliance with internal & external policiesEnsure timely sign on & off completion in DG e-governance including generating of Form 1 and AOA as required.Applying & coordinating with flag state for required endorsement or other related documents in compliance with vessels flag.Cadetship Program
Support the Senior Crewing Officer in recruitment, planning, and logistics for cadetship programs.Liaise with maritime schools and institutions as directed.Reporting
Assist Crew Management in generating and submitting required reports and performance data.To ensure that the Crewing Manager / Team Leader is always kept updated and fully informed about all exceptional casesTo perform ad hoc tasks as requested by the Crewing Manager / Team LeaderMinimum Qualifications
Bachelor’s degree or equivalent qualification.Preferably familiar with STCW certifications, Seafarers’ Employment Terms & Conditions, MLC 2006, CBA, and Flag State requirements.Proficient in MS Office applications (Word, Excel, Outlook, PowerPoint).Strong command of English, both written and spoken.Preferred Attributes
Prior experience (minimum 1 year) in a crewing or maritime operations environment.Excellent organizational and coordination skills.Strong interpersonal communication and teamwork abilities.High attention to detail and ability to manage multiple priorities under pressure.
