About the Role
We are looking for a detail-oriented and proactive Operations Assistant to support our recruitment and client operations. The ideal candidate will ensure smooth coordination between clients, placed candidates, and internal teams while maintaining accuracy, timeliness, and process efficiency across all operational tasks.
Key Responsibility Areas (KPIs)
- Timely Client Communication – Ensure 100% response rate to client emails ASAP.
- Weekly / Monthly Reports – Deliver accurate and timely status reports to management on recruitment progress.
- Candidate Engagement – Maintain regular check-ins with placed candidates (first week daily and weekly thereafter).
- Issue Resolution – Resolve any candidate-related issues (e.G. salary delays, timesheet disputes) within 2 working days.
- Timesheet Submission Rate – Ensure 98%+ timely submission of candidate timesheets for approval
- Cross-Verification Accuracy in Invoice – 100% accuracy in verifying submitted timesheets against client-approved records.
- Escalation Handling – Any anomalies in timesheets escalated within 24 hours to both candidate and client.
- Invoice Accuracy Rate – Maintain error-free invoices shared with the finance team Track and resolve any billing discrepancies within 5 working days.
- Submit accurate internal reports on placements, active candidates, billing status, etc., weekly.
- Proactiveness – Identifies and resolves issues before escalation.
- Attention to Detail – Minimal to zero errors in data entry, invoices, and timesheets. Team
- Collaboration – Actively collaborates with recruiters, delivery heads, and finance.
