Job Description
Core Roles of a Document Controller
Document Management
Maintain and manage all documents for a project or organization.
Ensure documents are properly categorized, filed, and stored (physically or digitally).
Version Control
Track revisions and updates to documents.
Ensure only the latest versions are in circulation.
Document Distribution
Distribute documents to relevant stakeholders.
Ensure timely delivery and acknowledgment of critical documents.
Compliance & Standards
Ensure documentation complies with company policies, industry standards, and regulatory requirements.
Assist in audits by providing required documentation.
Security & Confidentiality
Control access to sensitive documents.
Implement document protection protocols (e.g., password protection, restricted access).
Coordination
Liaise with project managers, engineers, and other departments to gather and distribute documents.
Coordinate with external vendors or clients for document exchange.
Database & Software Management
Use Document Management Systems (DMS) like Aconex, SharePoint, EDMS, or custom ERP tools.
Maintain metadata and indexing for easy retrieval.
Archiving
Archive old or obsolete documents as per retention policies.
Ensure proper backup and disaster recovery procedures are in place.
